Job Description Location: Calgary, AB (Hybrid) In this position, you’ll be based in the Calgary office for a minimum of three days a week, with the flexibility to work from home for some of your working week. Find out more about our flexible work culture at computershare.com/flex .

A role you will love The Corporate Trust Administrator is 18-month temporary role that is responsible for setting up and monitoring the flow of new business files with in the department. This encompasses creating the electronic client file, initiating the new business checklists, setting up the CART diaries and initiating the invoicing. The Administrator also adds the new files to be database and provides follow up to the Department Manager and Professional Administrator a report of delinquent items. The Administrator is also responsible for updating the billing information in our databases and communicate information to the Client Master Data Group in the Billing area. The Administrator completes the warrant exercises initiated by the holders for our branch including checking the calculations, creating the capital control forms on workflow, completing and sending the report to the client as well as receiving and forwarding funds from and CDS exercise.

Some Of Your Key Responsibilities May Include

  • Responsible for completing administrative requests such as deliveries, photocopying or scanning various documents, sending letters, preparing labels, outgoing courier packages and courier slips in a reasonable time
  • Receipt and distribution of incoming mail, cheques, general emails and faxes within the department . Redirection of general phone call enquiries to appropriate person or department File correspondence, statements, reports and documents on a regular basis in the Corporate Trust files
  • Act as vault custodian for unique assets held on behalf of our client files
  • Set up new electronic client files in our system and track new issue setups to ensure completion on within established parameters
  • Maintain custody of corporate seals, updating and preparation of incumbencies

What will you bring to the role? The Administrator will be an integral part of the team due to the responsibility of overseeing the team and processes that will help drive the business; you should have strong analytical skills with high attention to detail and not be afraid to manage both people and processes to achieve and maintain client success.

Other Key Skills Required For This Role Include

  • The Administrator should possess at least 2-3 years general office experience and possess great interpersonal skills with the ability to work and adapt in a constantly changing environment.
  • The Administrator position requires attention to detail and some evaluative judgment based on best practice and previous experience and guided by clear policy and procedure. The Administrator is expected to escalate any problems to either the Manager or Professional for guidance as needed.
  • Capable of monitoring a department’s operational processes, identifying when resource adjustments are needed in order to accomplish the objectives by the set deadlines and provide collaboration with other people managers to effect those resource adjustments
  • Proficient in developing and executing business strategies tied to a common vision, to maximizes revenue and profitability
  • Skilled at communicating with all levels in the organization and conveying a clear message so that the organization to make appropriate decisions and necessary actions to be taken
