We are seeking a full-time Operations Administrator who is aspiring to reach their potential in the field of construction, reporting to the Construction Manager within our Structures Division. This is an in-office position located at our Commissioners Road, London, ON location. The successful candidate will work closely with various departments, including procurement, project management and estimating, site superintendents, and executive leadership.
Environment
The Operations Administrator will oversee the administrative functions and support the operational needs of the Structures Division. This role ensures efficient, cost-effective, and compliant management of all administrative tasks associated with our projects. The successful candidate will work closely with various departments, including procurement, project management and estimating, site superintendents, and leadership.
How you will make an IMPACT
- Oversee administrative workflows to ensure timely acquisition of parts, supplies, and services critical to project success.
- Support estimating, project management tasks and systems to maintain accuracy, reduce waste, and ensure regulatory compliance.
- Monitor equipment utilization data and collaborate with field and operations teams to align resources with production schedules.
- Collect data and report on departmental KPIs that build accountability at the operating level to support strategic decision-making.
- Coordinate with accounting and finance teams for budget planning, invoice processing, and cost analysis.
- Support continuous improvement initiatives to optimize processes, reduce downtime, and enhance internal and external customer service.
- Supports compliance with safety standards, environmental regulations, and internal policies.
- Assist with duties during the Construction Manager's absence and collaborate with lead hands and site supervisors as needed.
- Support accounts payable and receivable processes, including processing vendor invoices, maintaining accounts payable, and assisting with month-end closing.
- Utilize applications such as Maestro, HCSS, and Microsoft Office to manage project purchase orders, costing codes, and general office administration.
How you WOW us
- Diploma in business administration, or a related field. Construction related certifications are ideal.
- 2-5 years of relevant experience in operations and administrative roles within the construction industry.
- Demonstrated proficiency in time management, task prioritization, and document processing.
- Excellent organizational and analytical skills.
- Proficiency in Microsoft Office and ERP systems.
- Ability to build and maintain lasting relationships with other departments, key business partners, and government agencies.
- Demonstrated commitment to Health & Safety.
