SUMMARY
The Volunteer & Community Engagement Coordinator is responsible for developing and coordinating the volunteer & community engagement program to meet the growing needs of the organization. This position supports newcomer volunteers to be engaged with both internal and community-based opportunities, virtually and in-person. Responsibilities include recruiting, training, and retaining current and new volunteers; managing the volunteer database and skill profiles; matching volunteers to suitable opportunities; keeping volunteers informed; and promoting the organization’s community work. The Volunteer Coordinator is also responsible for developing and maintaining positive relationships with volunteers. Additionally, identify, establish, and nurture community partnerships with organizations and businesses to connect newcomers and immigrant volunteers with meaningful community engagement and employment opportunities.
Key Responsibilities
- Develops, implements, and maintains appropriate volunteer strategies, systems, procedures, and practice standards that are aligned to best practices and funder and organizational standards
- Designs, coordinates, and delivers in-person and online sessions to introduces clients to volunteering in Canada, BC and the North Shore and supports clients in accessing resources related to volunteerism in Canada
- Conducts volunteer information sessions, and facilitate orientation and training sessions for new volunteers using various service delivery methods
- Assesses and addresses program need for volunteers to support service delivery and ensures qualified and suitable volunteers are matched
- Conducts volunteer recruitment, screening and onboarding, complete appropriate reference checks, and maintain documentation in accordance with organizational standards
- Engages volunteers on an ongoing basis by providing guidance, training, and feedback in interacting with newcomers and the professional boundaries of their role with clients
- Develops and maintains systems for volunteer attraction, orientation, training, engagement, and retention, including manuals, policies, and resource materials
- Matches clients to volunteer opportunities in the community that are aligned with their knowledge, skills and interests and from a gender-based analysis plus (GBA+) lens
- Coordinates volunteer recognition activities, including awards and events, to encourage long-term engagement
- Provides first language support to enhance the volunteer experience, including providing document translation, as needed
- Organize and manage volunteers for the in-person group activities, including coordinating with the Services team to ensure smooth scheduling, communication, and on-site support.
- Tracks program statistics, produce reports, and evaluates the program to measure success and identify areas for improvement using performance and quality improvement (PQI) approaches
- Maintains comprehensive and up-to-date volunteer records and schedules using the Better Impact volunteer database
- Plans and develops relationships with a diverse range of partners, committee members and clients
- Conducts outreach with local community partners to cultivate meaningful opportunities for clients
- Support the implementation of community-based services
- Coordinate and co-facilitate community-based activity workshops for clients and community members (virtual and in-person)
- Adheres to all relevant policies and legal requirements including those pertaining to privacy and maintaining strict confidentiality with volunteer information
- Comply with all organizational policies, procedures, standards, and directives, as wells as funder expectations and requirements
- Participate in organizational and team meetings, professional development and training opportunities, and evaluation and performance and quality improvement activities
- Uphold professional ethics and standards including but not limited to those pertaining to privacy, confidentiality, health and safety

Qualifications
Education
- Bachelor’s degree in Community Development, Humanities or Communications OR 2+ years of related experience, or the equivalent combination of education and experience
Experience
- Experience in volunteer coordination or community connection or management
- Experience working with staff and stakeholders from diverse cultural backgrounds, and liaising with partners, at various organizational levels, across a broad range of sectors
- Experience working with people from diverse backgrounds including immigrants
- Knowledge of volunteer management lifecycle and best practices in volunteerism
- Knowledge of/lived experience with the immigrant settlement journey, immigrant services sector and immigrant settlement activities
- Ability to design and deliver group sessions about volunteering in Canada for various audiences from a GBA+ lens
- Knowledge about the complex and intersectional needs, assets, barriers, and experiences of immigrants, particularly from a GBA+ lens
- Knowledge of GBA+, anti-racist, violence/trauma-informed, and other equity-centered service practices
- Strong knowledge of local systems and community resources and services on the North Shore
- Ability to develop/ maintain positive relationships among diverse internal/external partners
- Excellent knowledge of Microsoft 365 (Outlook, Excel, Word, PPT, Teams, SharePoint), Zoom, volunteer management database (e.g., Better Impact), and ability to learn and adapt to new technologies required for excellent service delivery
- Excellent verbal and written communication skills
- Ability to work a flexible schedule to support service delivery needs during daytime and evening hours as required
- Must be able to work in-person from community locations across North Vancouver and West Vancouver on a daily basis if required
- Required to undergo an annual performance review, with potential changes to roles based on performance, evolving expectations, and the need to meet best service deliverables and organizational goals.
- Ability to speak multiple languages is considered an asset
Additional Information
- Salary Range: $28.00 - $30.00 per hour, dependent on experience
- Work Schedule: 35 hours / week (schedule may vary)
- Start Date: As soon as possible
- Work Environment:This is a hybrid position that requires regular weekly in-office attendance, with one day flexibility for remote work.
