Billing Administrator
Phoenix Technology Services LP is a progressive and innovative Calgary based Directional Drilling Company. Driven by our client’s needs, we are committed to providing more efficient and cost-effective drilling operations.
We have an opening for a Billing Administrator based out of our Downtown location. The Billing Administrator is accountable for accurate and timely submission of invoices as well as other accounts receivable duties.
Responsibilities also include:
- Submit electronic invoices for required customers.
- Issue customer invoices and credits on a timely basis, ensuring proper approvals are obtained. Print required copies of final invoices and ensure the invoice has the appropriate attachments including purchase orders, AFE’s, work orders etc. and distribute to the customer.
- Reconcile outstanding purchase orders from customers.
- Record final and approved invoices on revenue summary and maintain the spreadsheet daily.
- Follow up with Sales/Operations on jobs that have not been invoiced to ensure timely billing.
- Reconcile revenue summary monthly to the invoices and credit memos by date query and the general ledger revenue accounts.
- Assist in performing credit checks on potential new clients.
- Assist in various month-end account reconciliations and journal entry input.
- Maintain an organized and tidy work area.
- Other duties and projects as required by Supervisor and Management.
- Assist other departments with various projects when time permits.
- Perform all duties to meet the responsibilities listed in the Employee and Corporate HSE Handbooks.
- Perform duties according to the Company’s quality system procedures and work instructions.
The successful candidate will have a high school diploma and a minimum of 1-year Accounts Receivable experience in a high-volume environment. They will need to have experience with online invoice systems (Open Invoice, Cortex, Actian, Ariba, etc) and demonstrate proficiency in MS Office and keyboarding skills. Attention to detail with strong organizational skills is a must, along with the ability to communicate with a high level of professionalism when dealing with outside contacts.
