The opportunity: Reporting to the Senior Manager, Business Systems Reconciliation, the Analyst, Business Systems Reconciliation plays a vital role in supporting Wellington Altus advisors by reconciling custodian data across various business applications. This role focuses on enhancing organizational efficiency and resolving exceptions through proactive analysis and remedial actions. The Analyst, Business Systems Reconciliation collaborates closely with internal teams, custodians, and external partners to address operational challenges and optimize system performance.
Key responsibilities include:
- Conducting thorough data analysis to reconcile information from multiple applications, ensuring accuracy and consistency across custodian records and Envestnet.
- Updating accounts on an ongoing basis (client name changes, rep code changes, and address changes etc.).
- Performing daily tasks such as sorting and assigning of new accounts.
- Inputting non-financial data to support temporary or permanent manual processes.
- Maintaining the unclassified securities tracker.
- Researching securities and update security exceptions extract to reconcile information.
- Proactively monitor and manage dashboards to ensure timely updates and accurate tracking of project tasks, bugs, and feature requests (e.g. JIRA) .
- Performing data reconciliation across multiple applications (e.g., custodian book of record – OSS Croesus, Envestnet) and analyze exceptions to identify and resolve gaps.
- Conducting workflow gap analyses, maintain issue logs, assess potential risks/impacts and documents reconciliation, Envestnet Support and Client Portal workflows.
- Inputting non-financial data and execute quality control checks to support temporary or manual processes, recommending automation where possible.
- Providing business support to advisors, optimizing the use of enterprise solutions and responding to service requests (e.g., generating Quarterly Performance Reports).
- Developing training materials and assist in training advisor teams on new or enhanced applications.
- Collaborating with internal teams and vendors for requirements gathering and perform user acceptance testing (UAT) for system fixes or releases.
- Supporting key initiatives such as the Client Portal transition to business-as-usual and the integration of workflows on Envestnet.
- Assisting in preparing for PPP reconciliation launches and supporting Advent reconciliation processes, ensuring database stability and system-agnostic reconciliation capabilities
- Strengthening vendor and custodial relationships to address data transmission challenges and enhance workflow resilience.
- Performing other duties as assigned.
The ideal candidate will possess:
- Bachelor’s degree in Finance, Business, Information Technology, or related field preferred.
- 2-3 years’ financial services industry experience working in a high growth environment.
- 2+ years’ experience in vendor and custodian management.
- 2+ years’ experience in a customer/client-service facing role.
- Equivalent combination of education and experience may be considered.
- Experience in the wealth management or other regulated industry is a strong asset.
- Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
- Proficiency in systems similar to SS&C, Advent, Envestnet & Morningstar.
- Proficiency in NBIN or alternative custodial systems such as Refinitiv, Thomson One, Netrep and imost.
- Effective communication skills with the ability to articulate technical concepts to non-technical stakeholders.
- Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day to day work and long-term goals.
- Excellent attitude and commitment to providing extraordinary service.
- An excellent attention to detail.
