We are currently looking to fill a 12-month contract positionfor a Receptionist/HR Assistant for our Human Resources Department at our Leamington, ON location.
The Receptionist/HR Assistant is located at our Distribution Center and is the first point of contact for guests, visitors, and vendors whether it is in person, email or on the telephone. They would be answering or referring inquiries and helping guests, visitors or vendors feel welcome before directing them to the appropriate person or department. They will also be responsible for various HR and administrative duties for our Distribution Center in areas like employee engagement, time and attendance, and training and development.
Job Specific Duties

Receptionist:
-
Answering, screening, and forwarding incoming phone calls, emails, and messages to the appropriate person or department as needed.

Receiving, sorting, and distributing mail/deliveries and forwarding them to the appropriate department.
-
Greet and welcome guests, visitors, and vendors when they arrive and direct them to the appropriate person or department and/or assist in addressing any inquiries they may have (when applicable).

Complete sign in/out and building entry and exit procedure when guests, visitors, and vendors arrive and leave the facility.
-
Coordinate office activities such as events, meetings and appointments including booking boardrooms, and communicating internally and externally.
-
General housekeeping of boardrooms, kitchen, and all public areas. This may include cleaning, emptying dishwasher, garbage, tidying/dusting, watering plants, etc.
-
Ensuring boardrooms, kitchen, and all common areas are properly stocked with required supplies and materials, including proactively monitoring inventory levels and placing orders as needed to prevent shortages.

Ensuring reception area is kept tidy and presentable at all times.

Participate in the Social Committee planning and executing DC office events.
-
Running various errands across local Nature Fresh facilities or in town/surrounding areas.

Human Resources Assistant:
-
Monitor employee call-ins, notify the appropriate HR representative and management, and accurately record attendance in ADP, while identifying any potential issues or trends.
-
Use ADP attendance reports to draft attendance letters in collaboration with the HR Generalist and the employee’s manager.
-
Prepare Statutory Holiday reports for managers before each holiday, providing details on which team members are scheduled to work.
-
Create quarterly vacation reports for all managers to support them in monitoring and managing their teams' vacation usage.
-
Support recruitment efforts by ordering orientation supplies (pamphlets, referral gift cards etc.), taking profile photos of new hires, and helping to create a welcoming and positive onboarding experience.

Monitor employment acknowledgement on new/updated policies or procedures on ADP.
-
Coordinating and distributing employee gifts, including Bereavement flowers or blankets, Baby packages, Retirement gifts and Birthday cards; while monitoring inventory and ordering supplies as needed to ensure timely delivery.

Maintaining HR boards in the Distribution Centre, including posting event announcements, updated Violence and Harassment policies, employee handbooks, and other relevant materials.

Provide administrative support, including managing hardcopy and electronic filing, coordinating the distribution of apparel orders and coordinating HR related travel, training, meetings when required
-
Support employee engagement by assisting in annual company picnics and holiday parties, issuing monthly Kudo’s rewards, assisting with Mothers/Father's Day gifts, Employee Appreciation Day etc.

Must comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

Qualifications
- Certificate in Office Administration would be an asset.
- Previous experience as a Receptionist/HR Assistant would be an asset.
- Friendly professional demeanor with the ability to communicate with all visitors, vendors, and employees at all levels.
- Good interpersonal skills: ability to work collaboratively on cross-functional teams.
- Ability to manage multiple priorities, strong organizational and detail orientation.
- Excellent documentation and report writing skills.
- Excellent verbal and written communication skills.
- Good team player, positive attitude and out of the box thinker.
- Working experience with Email, Excel, Word, Zoom, Teams, project screens, etc.
- A high degree of confidentiality and integrity regarding Company and employee related matters.
- Must be comfortable meeting deadlines and working at a fast pace.
- Valid Ontario driver’s license and use of personal vehicle are required.
Working Conditions
- Works Monday-Friday (7:30am-4:30pm), with occasional Saturdays and holidays as needed. Hours may fluctuate according to business needs.
- Required to visit locations that are not temperature controlled; may be in a cold warehouse or hot and humid greenhouse setting.
- Travel is required for offsite meetings, errands etc.
Physical Requirements
- Balance between sitting, standing, and walking.
- There may be an occasional need for some heavy lifting (when needed).
- Ability to bend, twist, reach, etc.
- Must be able to complete all physical requirements of the job with or without a reasonable accommodation.
