About the role

Overview:

We are seeking a Project and Business Administrator for a one-year contract to support the successful implementation of a small client-based application. Reporting in part to the IT Manager/Consultant and Executive Director, the candidate will assist with coordinating project activities, managing timelines, communicating with clients, scheduling clients, support training and system testing, and contribute to user adoption. The work is mostly remote and partly within the communities we serve. This is an immediate hire, but you must be currently unemployed.

About Us

Re-Imagine Ontario (“The Organization” or “RiO”) is a registered charitable organization whose mission is to improve the health, education, and employment of vulnerable individuals, with particular focus on black youth, through community networks, development opportunities, and family supports. The programs we run include both youth and programs for isolated seniors.

The Role

This implementation project will enhance access to medical transportation for vulnerable seniors through a user-friendly, and more efficient automated scheduling system. This is an exciting opportunity for an organized and motivated professional to gain valuable project management and business administration experience while making a meaningful community impact.

Responsibilities:

Project Implementation and Management:

  • Learn the current system to get a first-hand look at its weaknesses
  • Coordinate day-to-day project activities in collaboration with the IT Manager/Consultant.
  • Develop and maintain project schedules, tracking timelines, tasks, and deliverables.
  • Facilitate communication between stakeholders, volunteer drivers, seniors, IT and ED
  • Assist with the development and documentation of system procedures, manuals, and training materials.
  • Assist with organizing and coordinating system testing (User Acceptance Testing - UAT) and reporting issues.
  • Help plan and schedule training workshops for seniors, volunteers, and staff users.
  • Monitor project milestones and contribute to project evaluation and reporting.
  • Provide first-level user support during system rollout and stabilization phase.
  • Maintain organized project records and assist in preparing status updates and reports.
  • Contribute ideas for continuous improvements during and after implementation

Qualifications:

  • Must be currently unemployed
  • Business Administration or Project Management Diploma or Degree in Business Administration, or Training in an equivalent or related field.
  • Experience coordinating small projects, preferably in a community service or nonprofit setting.
  • Strong organizational, time management, and multitasking skills.
  • Strong customer service, written and verbal communication skills.
  • Comfort with technology, especially Microsoft 365 (Word, Excel, Outlook, Teams).
  • Familiarity with scheduling or CRM systems (an asset but not mandatory).
  • Ability to work both independently and as part of a team.
  • Strong problem-solving and adaptability skills.

Re-Imagine Ontario, is a relatively newly founded social initiative. It came to life fully in the very early days of the COVID-19 pandemic, when the crisis of the pandemic highlighted the continued lag of social and economic indicators among vulnerable populations, primarily Black and Indigenous Canadians. Our mission is to bring community together to start chipping away at these some of these trends.

Our programs are designed to target vulnerable communities, with most programs designed primarily for vulnerable individuals within the Black and Indigenous Communities. We are initially offering three programs, and hope to keep growing and changing lives. These programs are, a mental health support program, a mentoring program, and in-home care program.
