ROLE: Sales & Procurement Coordinator

Position Overview:
We are seeking an experienced, detail-oriented Sales & Procurement Coordinator to join our dynamic team. In this role, you will be responsible for managing the entire lifecycle of an order, from receipt to fulfillment, ensuring accurate processing, efficient execution and customer satisfaction. You will also be required to purchase raw materials for all orders and maintain inventory levels. You will work with various departments, like production, to optimize order workflows and handle customer inquiries related to quote requests, order status, and mitigate potential issues. You will also play a role in organizing production schedules and internal workflows to ensure a seamless, professional experience for our customers and partners. The ideal candidate will bring strong technical skills, excellent organizational abilities, and a customer-first mindset to help support and scale our growing operations.
Key Responsibilities:
- Hours: 7:30am–4:00pm, Monday–Friday
- Utilize and maintain order management systems (ERP) to ensure smooth day-to-day operations.
- Review and verify order details, including product specifications, quantities, and customer information.
- Manage customer orders, production tracking, and project workflows within the ERP system.
- Create bill of materials and labour plans based on fabrication drawings.
- Assist with technical inquires by reviewing project drawings and assist with order requirements.
- Track and document customer orders, project milestones, and service requests in the system.
- Assist with managing inventory and purchasing materials from vendors.
- Build and manage relationships with key vendors and suppliers to strengthen purchasing power and product availability.
- Support basic administrative tasks related to sales, shipping, and finance departments as needed.
Experience and Skills Required:
- Diploma or degree in Business Administration, Operations Management, Engineering Technologist or a related field preferred.
- 3+ years experience. Experience in a custom manufacturing environment is considered an asset.
- Proven experience in a sales support or coordination role is preferred.
- Strong understanding of supply chain processes and vendor management practices.
- Familiarity with enterprise resource planning (ERP) systems is highly desirable.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, OneNote) for data analysis and reporting.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with a collaborative mindset.
- Positive, customer-focused attitude with a passion for delivering excellent service.
