Position Summary:
We are seeking a detail-oriented, experienced IME Team Administrator to lead and manage the day-to-day operations of our growing IME (Independent Medical Evaluation) department. Reporting directly to the President, the ideal candidate will possess in-depth knowledge of the IME process, demonstrate proficiency in drafting IME reports, conducting Quality Assurance (Q&A) reviews, and coordinating with physicians, lawyers, and insurers to ensure timely and accurate delivery of reports.

This is a leadership role with a balance of hands-on administrative tasks and oversight responsibilities, ideal for an individual with a strong understanding of the IME and MVA business landscape.

Key Responsibilities:

  • Draft, edit, and format high-quality IME reports in collaboration with medical experts
  • Conduct thorough Q&A reviews of IME reports ensuring clarity, compliance, and accuracy before submission
  • Serve as the main administrative lead for the IME team across multiple clinic locations
  • Act as a key liaison between assessors, insurers, legal teams, and clinic staff to facilitate smooth IME processing
  • Oversee scheduling, coordination, and logistical arrangements of IMEs across iScope locations
  • Track report progress, turnaround times, and ensure key performance indicators (KPIs) such as delivery timelines and report quality are met
  • Implement and optimize administrative processes and standard operating procedures (SOPs) for the IME department
  • Mentor, train, and guide junior IME administrative staff as needed
  • Maintain detailed and organized records in compliance with privacy and regulatory standards
  • Prepare regular status reports for the President and senior leadership on departmental performance

Qualifications:

  • 3+ years of direct IME administrative experience in a medical, legal, or insurance environment
  • Expertise in drafting and reviewing IME reports and performing comprehensive Q&A checks
  • Proven ability to lead or supervise administrative teams in a clinic or corporate setting
  • Strong understanding of the MVA, IME, and personal injury assessment process in Ontario
  • Exceptional organizational, communication, and time management skills
  • Proficiency with EMR systems and Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Detail-driven with a focus on accuracy and process improvement
  • Post-secondary education in Health Administration, Paralegal, or a related field preferred
