Your Role:

Reporting to the Director of Care, the Nursing Administrative Assistant (NAA) provides vital clerical support to the Care Department while serving as the front-line contact for residents, family members, and staff. The NAA helps ensure a well-organized and welcoming care environment through professional communication, efficient scheduling, and administrative coordination.

Key Responsibilities:

  • Prepare and maintain accurate staff schedules, including shift changes and replacements, in compliance with the applicable Collective Agreement
  • Manage internal job postings and scheduling updates
  • Support the Care Department with general administrative tasks including filing, data entry, and documentation
  • Greet and assist residents, families, and visitors, addressing inquiries with empathy and professionalism
  • Respond to and follow up on concerns and requests, ensuring confidentiality and resident dignity
  • Support planning and coordination of staff education sessions and departmental meetings
  • Maintain records and documentation related to nursing operations
  • Foster strong working relationships with all team members to ensure a cohesive, collaborative work environment
  • Available to work various shifts, including weekends and holidays, based on operational needs

What We’re Looking For:

· College diploma in Business Administration or equivalent education/experience
· 2–3 years of office administration experience required; healthcare experience is an asset
· Familiarity with healthcare terminology, records management, and scheduling systems preferred
· Excellent communication, customer service, and interpersonal skills
· Strong organizational skills and a high level of attention to detail
· Dependable, flexible, and self-motivated with a commitment to teamwork and resident care
