Experienced Receptionist/Intake Clerk – Women-Run Family Law Firm (Whitby, ON)
Full-Time | In-Office | 4 Weeks Vacation | Lunch Provided Daily | Health Benefits or HSA Option
We are a women-led, client-focused family and estate litigation firm
based in Whitby, Ontario
, and we are looking for a seasoned, detail-oriented, and highly organized receptionist/Intake clerk
to join our team. This in-person role is ideal for someone who is proactive, tech-savvy or willing to learn about and use new technologies, and passionate about delivering exceptional client service while keeping the office running smoothly.
About the Role
You will be the first point of contact
for new and existing clients—on the phone, online, and in person. You will be primarily responsible for new client intakes in our estate litigation department
and will provide backup intake support for the family law team
. Intake is one of the most valuable roles in our firm
: you are often the reason a potential client chooses to move forward with us. It’s essential that you can ask and answer questions confidently, clearly, and efficiently
, while building trust and guiding clients toward booking a consultation.
You’ll also follow up with potential clients who haven’t yet booked, and follow up with current clients who have outstanding accounts receivable, helping ensure smooth operations and a high level of client engagement.
Key Responsibilities
- Greet clients and visitors with professionalism, warmth, and discretion
- Manage new client intakes (primarily estate litigation, with backup support for family law)
- Confidently answer inquiries and explain our process to potential clients to encourage booking
- Follow up with unconverted leads to check in on interest and next steps
- Follow up with current clients with outstanding balances
- Answer phones, emails, and manage general inquiries
- Schedule consultations and meetings using Google Calendar
- Prepare and tidy boardroom for meetings and clean up after lunch
- Maintain a clean and organized reception area, kitchen, and common areas
- Order office supplies, snacks, and keep inventory stocked
- Provide administrative support to legal staff as needed
- Use firm tools and software (e.g. Gmail, Google Drive, Soluno, Dropbox Sign, monday.com, etc.)
What We’re Looking For
- Previous experience as a receptionist/Intake clerk or administrative professional (law firm or professional services strongly preferred)
- Excellent communication and interpersonal skills
- Strong ability to manage conversations and follow up with confidence and care
- Detail-oriented, highly organized, and able to multitask effectively
- A self-starter with critical thinking skills and initiative, ability to multi-task
- Comfortable with technology and able to learn new systems quickly
- Professional, empathetic, and trustworthy when dealing with sensitive client matters
