Primary Responsibilities:
- Provide high-level support to legal professionals with busy practices.
- Draft, format, proofread, and file legal documents for Ontario Courts, the Labour Relations Board, and the Human Rights Tribunal.
- Manage multiple calendars, including scheduling meetings, court appearances, and arbitration hearings, while tracking all related deadlines.
- Maintain organized and confidential client files, both digital and physical.
- Communicate professionally with clients, opposing counsel, courts, and other external parties.
- Review legal documents for accuracy and completeness.
- Support billing and time entry processes, ensuring timely and accurate submissions.
- Use legal software and tools for case management, e-discovery, and document automation.
- Provide administrative support during court proceedings and client meetings, including preparation and follow-up.
- Collaborate with legal professionals and other assistants to meet deadlines and adapt to shifting priorities.
- Ensure compliance with legal standards and ethical guidelines.
- Deliver excellent client service and help maintain strong client relationships.
- Perform other administrative tasks as needed to support the firm’s operations.
Required Knowledge and Experience
- Post-secondary education in Office Administration (Legal), Law Clerk program or related field preferred
- Minimum 3 years of experience in Labour and Employment Law or Civil Litigation is preferred
- Experience with Ontario court processes
- Strong knowledge in HRTO rules
- Certification in legal administration or law clerk studies is an asset
- Proficiency in legal software and Microsoft Office Suite
- Proficient in Microsoft Office Suite and firm-specific applications.
- Familiarity with key business cycles and procedures (e.g. closings, court filings)
