Position Summary
Reporting to the Associate Dean, Integrative Health and Wellness, this front-line role is essential to ensuring a smooth, professional, and welcoming clinic experience for clients, students, and faculty alike. As the first point of contact, the Front Desk Support plays a critical role in maintaining efficient clinic operations, coordinating appointments and administrative processes, and safeguarding sensitive health information in compliance with privacy and regulatory standards. This position contributes to a real-world learning environment that mirrors professional practice, supporting students as they gain hands-on experience while ensuring a seamless and positive experience for community members accessing care.
Duties and Responsibilities
- Maintain and managing appointment bookings and confirming patient appointments 48 hrs in advance.
- Monitor the clinic’s general email and handle inquiries and appointment changes.
- Respond to cancellations and managing the waitlist.
- Oversee payments and charges (if a fee-for-service model is implemented).
- Manage secure storage and retrieval of clinic iPads, incl. logging students in/out of the Jane App.
- Welcome patients and checking them in upon arrival; confirming health history forms are complete.
- Provide general assistance and guidance to patients when needed.
- Redirect complaints or concerns to the appropriate clinical or academic staff.
- Assist with laundry duties.
Qualifications

Diploma in Office Administration or equivalent
-
Minimum one (1) year previous experience in a front desk, receptionist, or administrative role—preferably in a healthcare or wellness environment.

Experience or familiarity with clinical environments such as OTA/PTA, Massage Therapy, or Acupuncture.

Strong organizational skills and attention to detail.

Proven ability to manage and track data across multiple systems (adv. Excel skills considered an asset).

Experience with or a willingness to learn the Jane App clinic management system.

Understanding of client confidentiality standards and privacy regulations (e.g., HIPAA, PHIPA).
