Camosun College is hiring a regular, full-time Supervisor - Receiving to join their Receiving team!
The Supervisor, Receiving is responsible for the overall supervision of the College’s receiving docks, one at each campus and the PISE and CTEI buildings, so that items are received in good order and distributed to the end user. This position supervises the internal and external mail distribution and liaises with courier services and delivery companies to ensure that items are shipped to meet defined delivery requirements, locally and internationally. The supervisor also supervises storage and inventory of college surplus equipment and furniture, re-distribution internally where appropriate or listing for sale through appropriate methods. Requires travel between campuses.
TYPICAL DUTIES
- Supervises all personnel associated with College receiving and courier functions, including work schedules and assignments, arranging for replacement or additional staff as required, training, and dealing effectively with employee issues as they arise;
- Takes a leadership role in being knowledgeable about the functions, business processes and changes within the department and communicates these issues with the team;
- Provides ongoing advice, guidance or instruction to staff to ensure service quality standards are maintained;
- Supervises and assists in the moving of equipment, supplies and set up of classroom and furniture. Supervises contract movers when required;
- Supervises College surplus assets, stores appropriately, posts for sale on College website, or disposes of by other methods;
- Uses various methods to process mail records of postage utilization and costs plus other records as necessary;
- Enters records into Colleague receiving module;
- Maintains mailroom files and records;
- Receives, unloads, verifies and distributes goods ordered through receiving;
- Prepares and packs goods, ships and processes documents for outgoing shipments;
- Schedules maintenance and daily use of 5 College vehicles, including the Arts and Science mini-bus;
- Initiates freight damage and loss claims;
- Maintains good housekeeping functions and ensures security of goods in the Receiving areas and storage areas;
- Reviews and recommends improvements to existing procedures and practices on an ongoing process.
In addition, performs the duties of the Receiver/Courier, including but not limited to:
- Verifies packing slips, invoices against purchase orders and enters data on Colleague according to College policy;
- Assists in the clerical and physical aspects of equipment inventory;
- Drives College vehicles and operates pallet mover, dolly and motorized forklift;
- Provides a scheduled courier service;
- Sorts and delivers inter-campus mail;
- Transports goods and mail to and from a variety of locations, all College campuses and facilities;
- Maintains cleanliness and appearance of courier vehicles; and reports any service and damage issues.
- Performs other related duties similar in scope and complexity.
QUALIFICATIONS
Grade 12 and one-year community college in a related area and three years’ experience in a shipping/receiving environment plus three years direct supervisory experience; or an equivalent combination of education and experience; valid Class 5 driver’s license
- Ability to plan, organize, supervise and maintain a high standard of work from employees in the department as well as contribute positively to a respectful and constructive work environment.
- Exceptional human relations skills as well as proven communication skills in order to relate well with the public, college staff and students
- Demonstrated excellence in logistics management
- Advanced keyboarding skills and proficiency in MS Office suite, internet and applicable college software systems
- Proven ability to make effective decisions in a fast paced environment as well as demonstrated initiative to provide effective and efficient service delivery college wide
- Have or be willing to obtain a forklift operator certificate as well as be willing to take additional training as required (Transportation of Dangerous Goods, WHMIS, etc)
- As this job requires moving large volumes of freight on a daily basis, excellent physical health is required
