Unit/Project Description:
Student Accessibility Services (SAS) is a multi-disciplinary team of professionals who support over 5,700 students with disabilities, develop accommodation plans, provide learning strategies support, note-taking services, transcription services, support for assistive technology, test administration, and exam invigilation. SAS is responsible for ensuring compliance with the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Human Rights Code (OHRC).
Job Summary:
Responsible for the overall administration of accommodated tests and examinations for students with disabilities. Ensures the efficient and appropriate delivery of support services within all relevant policy requirements and guidelines. Provide supervision to staff performing test and exam coordination and resolves escalated issues.
Purpose and Key Functions:

Troubleshoot escalated, specialized inquiries and provide information to students, faculty and staff regarding test and examination accommodations.

Develop, implement and improve systems for quality assurance to ensure the accurate planning of tests and exams.
-
Act as liaison between students and various departments/staff/faculty to resolve issues regarding tests and testing accommodations, deferred exams, and short-term accommodation assessments.
-
Oversee test/exam submissions with instructors and address issues with test/exam electronic copy, in-person delivery, memory aid submission, access passwords, or if test/exams are not received in a timely manner.
-
Write procedural manual and guides on special accommodations including provisions of test and examination regulations, and rationales.
-
Plan and coordinate resources, schedules and work plans for staff involved in tests and examination administration.
-
Liaise with instructors, academic departments, and internal staff in relation to the administration, scheduling and coordination of all stages of test and exam planning.

Proactively identify issues and recommend changes to the overall operation of the program and improvements to existing policies and procedures
-
Develop and deliver training sessions to staff on test and examination coordination and procedures.
-
Communicate with students to determine specific needs and make arrangements for test and examination accommodation services.
-
Prepare reports for internal and external use.
-
Oversee the development and execution of the communication strategy for test and exam planning, collaborating with partners to address communication requirements
-
Coordinate input from other departments to facilitate the integration of the service centre's strategic plan, policies, and processes with those of various departments.

Provide and ensure alternate formats of tests and exams, including accessible tests/exams formats and virtual tests/exams planning.

Triage intakes for students requesting accommodations and provides interim accommodations.
-
Informs the policy decision-making processes that impact operations (e.g., academic accommodations, changes to system configurations, examination and MSAF policies).

Provide information and support to aid training of invigilation staff involved in test and examination administration.
-
Effectively use systems and technology to manage student medical information accurately and efficiently. Ensure data accuracy and document integrity.

Anticipate test resource space needs and coordinate with Exams Office for additional room allocation for accommodated tests and exams.

Provides estimate of time and resources with resource planning, scheduling and work plans for team members.
-
Schedule alternative examination times and book rooms that will accommodate the individual needs of students.

Compose and update information for the departmental website related to test and examination administration.
-
Review services and ensure alignment with relevant legislation and government policies and procedures.
-
Attend and participate in meetings as a subject matter expert to inform and update departmental policies, procedures and processes.

Work closely with departmental teams in the selection, installation, and operation of technologies used for test and examination administration.

Conduct web and database searches for relevant information on disabilities and related needs
-
Set up and maintain filing systems, both electronic and hard copy.
-
Safeguard student files and ensure staff follow all applicable guidelines when dealing with confidential data.

Exercise discretion in the release of confidential information.

Stay up to date with OHRC and AODA standards in service delivery.
Supervision:

Provides ongoing supervision for 1-4 continuing employees
-
Ongoing responsibility for supervising up to 9 casual employees at any one time including making effective human resources recommendations.
Requirements:
