The Executive Assistant to the President & CEO is highly organized and skilled at managing complex schedules, travel, and priorities. You anticipate needs, solve problems proactively, and have excellent organizational skills. You bring strong technical skills and a calm, professional presence in all interactions. You’re adaptable to changing priorities, comfortable working independently, and able to manage confidential information with discretion.
What you will do:
- Provide comprehensive administrative support, including calendar management, meeting coordination, screen & prioritize email
- Handle information with an extremely high degree of sensitivity and confidentiality
- Anticipate needs, ensuring materials are prepared & available in advance of meetings and appointments
- Plan and coordinate internal and external meetings, including invitations, agendas, materials, meeting rooms, technical requirements, catering, etc.
- Plan and coordinate all travel arrangements (domestic and international) for the President & CEO, and others upon request
- Take minutes during meetings, including typing, proofreading and distributing a wide variety of complex and confidential reports, letters, memos, and presentations; proactively manage action items and follow ups
- Review, update, edit and format a variety of reports, presentations, letters and documents
- Maintain an electronic filing system
- Manage company season ticket packages, including assignment and distribution of tickets
- Oversee the organization, preparation and distribution of content for Advisory Board meetings, as well as attend and take minutes
- Provide administrative support to the Chair and Advisory Board, as required
- Perform other duties as assigned
About You:
- At least 5 years’ experience as an Executive Assistant or in a senior administrative role directly supporting top executives.
- Post-secondary diploma in Business, Communications, Administration or similar an asset
- Experience planning multi-day events, meetings and conferences
- Technology adept and skilled in using various digital tools and platforms
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Publisher, Outlook)
- Outstanding organizational skills with the ability to shift priorities and multitask
- Experience working independently
- Exceptional communicator, both written and verbal
- Experience working with highly confidential information discreetly and diplomatically
- Ability to flex your work location and/or hours to meet the needs of the President & CEO

In BC, employees in this position can expect to earn as base salary of $70,0000 to $95,000 per year, with opportunities to earn more as you grow and develop with us. Your salary will be supplemented with monthly bonus opportunities, annual profit share, wellness days, RRSP program and a generous benefits package.
