What You Will Do

This role performs a variety of clerical and administrative duties to support the day-to-day operations of the section. The role also provides coverage for the department's Administrative Assistant/other support staff as required.

In addition:

  • Assist and/or coordinate the daily administrative activities of the department/section.

  • Facilitate the procurement of supplies, materials and services for the section/department.

  • Prepare and/or assist with the preparation of correspondence and/or documentation on behalf of the department/section in accordance with its standards.

  • Assist with the monitoring, tracking and updating of information/data/records, ensuring accuracy and following up as required.

  • Process or assist with the processing of documentation, reports, data, with accuracy, and manage and maintain these documents, records, files, following established procedures and within established timelines.

  • Input payroll related data into the Online Attendance Reporting System (OARS).

  • Distribute and track various TTC employee items (e.g. employee pass, keys, vouchers, etc.).

  • Liaise with other colleagues/support staff, other departments, and/or external parties concerning routine matters under the direction of department staff.

  • May participate in and/or assist with department/section activities or events as directed.

  • Assist with other duties and tasks and provide back up support as required.

What Qualifications Do You Bring?

  • Your educational background will consist of the completion of secondary school education in a relevant discipline, or a combination of education, training and experience deemed to be equivalent.
  • You have sound knowledge of modern office methods, practices, procedures and equipment.
  • You are proficient in the use of a personal computer and related software applications and computer systems relevant to the work (e.g. Microsoft Office, Internet Explorer, MMS, PPIN, OARS, Maximo, etc.).
  • You possess good keyboarding skills, basic mathematics and good organizational skills to meet established deadlines.
  • You have good oral and written communication skills for the purpose of exchanging and obtaining information.
  • You must have or quickly acquire knowledge of the TTC, Operations Group and Stations Department policies, practices and procedures relating to the work.
  • Must have or quickly acquire a sound knowledge of the TTC’s purchasing practices and procedures, and sections of the collective agreement relevant to the work (e.g. issuance of clothing, safety shoe allowance, etc.).
  • Familiarity with relevant units, parts, materials, supplies and terminology pertaining to the operation of the various groups including Janitors, Building Servicepersons, Relampers, Luxalon Cleaners and Heavy Cleaning Crews would be an asset.
