Position Overview:

Reporting to the Manager of Public Works (PW), the PW Administrative Assistant is responsible for the administrative duties related to the operations of the Public Works department, which includes the Parks, Solid Waste Services, Streets & Roads, Fleet Services, Utilities and Sustainability business units. The PW Administrative Assistant is the departmental power user of SharePoint, departmental website champion, and provides front desk reception at the Public Works building. As the primary contact for general PW inquiries with the Town of Canmore (“Town”), this position provides reliable customer service to internal and external clients and contractors. Administrative responsibilities include organization and filing of departmental documents, preparation of agendas and minutes, and administrative functions to support special project work.

This role is ideal for a strong administrator who is not afraid to tackle a diversity of tasks – no matter how big or small! You are a friendly, fun outgoing team player who can cultivate meaningful and collaborative relationships within your team and with the public. To be the best fit for this position, you must have a genuine interest and experience in office administration, be detail oriented and be able to take initiative.

Core Accountabilities:

  • Is knowledgeable about all Town of Canmore services with a strong understanding of Public Works operations

  • Competent to support the following systems and programs:

    • Operational Health & Safety program
    • Community programs and services
    • System and program tracking
    • Accounts payable and procurement
    • Office supplies and clothing inventory
  • Proficiently and efficiently uses computer operating systems, software, and applications utilized by the Town such as MS Office, Adobe Acrobat Pro, web editor, financial, Dayforce

  • Follows established standard operating procedures for safety, customer service, financial transactions, etc.

  • Maintains confidentiality of all client information

  • Anticipates sensitive issues and plans an appropriate strategy

Education & Qualifications:

  • Post-secondary education in Office Administration, Business Administration, Public Administration, or legal studies – asset

Experience:

  • One year of administrative experience – required

  • Administrative experience in a municipal setting and/or with utilities – asset

  • Able to anticipate customer needs and be flexible in a diverse team environment while maintaining a positive attitude – required

  • Proven organizational and time management skills with the ability to meet deadlines and changing priorities – required

  • Proficiency with Microsoft Office programs (particularly Excel), with the ability to independently create and edit a variety of documents and spreadsheets – required

  • Experience working efficiently and accurately with detail-oriented and mathematical tasks – required

  • Experience prioritizing work for a sustainable workload that includes the highest-value activities – required

  • Experience working with confidential information – asset

  • Strong written, oral, and conflict resolution skills – required

  • Experience and comfort with effectively and respectfully raising ideas and concerns to co-workers and managers – required

  • Able to recognize and manage stress in self and others – required

Salary & Benefits

  • Salary Range- $30.61 to $34.21 per hour. Compensation will be calculated based on the successful candidate’s related work experience and education.
