Office Administrator / Receptionist
The challenge
We are looking for an Office Administrator / Receptionist who will join our team and would take care of our brand new office in Warsaw. This role is combining responsibilities of office administration and receptionist but act also as assistant to General Manager.
What you will do
- Contact with the building manager (solving current issues, providing employees with information about the office).
- Maintenance of the facility management system (reporting any faults, repairs, changes in access).
- Control of the parking system (validation of parking tickets, arranging parking spaces).
- Taking care of the image of the office (control of cleanliness and tidiness by employees, control of the condition of the showroom, etc.).
- Control and issuing access cards to the office and parking spaces.
- Purchases of office supplies and products for showroom.
- Purchases for the needs of employees and the office (e.g. monitor, mouse, toners, etc.).
- Contact with suppliers and control of leased equipment (i.e. coffee machine, water dispenser, printers).
- Control of the employee offer, support in contact between employees and NTT.
- Administration of the neighborhood offer and influencers offer.
- Responsibility for incoming and outgoing correspondence.
- Shipping and collection of domestic and international letters/parcels.
- Taking care of guests (introduction, organization of hotels, taxis, lunches, etc.).
- Organization of events, employee parties, lunches.
- Registration of correspondence and invoices in the system.
- Supervising the flow of documents.
- Company mail box service.
- Coordinating questions to subject matter experts.
- Creating product packages.
- General Manager support.
- Support in creating PowerPoint presentations.
- Verification of the extended warranty action.
What you need to succeed
- excellent command of English language, both written and spoken,
- good knowledge of MS Office software, especially Excel, Word, PowerPoint, Outlook, Teams,
