Overview

Liaising with the Coordinator, Global Mobility Programs and the Coordinator, Global Engagement, the Coordinator, Inbound Global Mobility Programs contributes to Lakehead University’s internationalization efforts and global engagement priorities by increasing student awareness of and participation in international engagement & mobility opportunities such as international academic exchanges, short-term study abroad programs, faculty-led programs, government scholarship programs, and other international experiential learning and study abroad opportunities.

Reporting to and receiving strategic guidance from the Manager of Global Engagement and Mobility Programs and working with relevant academic and administrative units at Lakehead University, the Coordinator is responsible for operating inbound mobility programs, including 1 semester or full academic exchange opportunities, inbound Global Affairs Canada (GAC) Scholarships, such as ELAP, SICS, & SEED, as well as programs related to Lakehead degree programs initiated by the Global Engagement & Mobility Program Team, such as international dual degree programs, pathway programs and credit transfer programs. The coordinator also develops and implements programs to increase the number of students studying at Lakehead on a fee-paying mobility program, which may also include inbound Faculty-led study tours and short-term programs to Lakehead from global partner universities.

Responsibilities

Coordination of inbound mobility programs – Engaging with Inbound Exchange Student 40%

  • Coordinate all aspects of all inbound mobility programs (inbound exchange students on Student exchange agreements, MoUs and inbound degree seeking students related to Lakehead degree programs initiated by the Global Engagement & Mobility Program Team, such as international dual degree programs, pathway programs and credit transfer programs) including inquiries, promotions, recruitment, nomination, selection, admission, academic advising, registration, health insurance, financial aid, entry requirements, and post-entry advising.
  • Coordinate and communicate the inbound exchange pre-arrival process, assisting students with questions and referring students to appropriate services
  • Develop resources, procedures, and training to support mobility program orientation, pre- departure, and post-entry reflection.
  • Communicate with all inbound exchange applicants if further information or clarification is required and evaluate international applications academic credentials and eligibility for admission to Lakehead
  • Confirm admission and prepare acceptance documents to be communicated to inbound exchange students
  • In collaboration with International Student Services, provide guidance and ongoing support to inbound exchange students throughout the exchange period
  • In consultation with LUI team members, assist with offering supports and activities to inbound exchange students
  • In required, work with the International Immigration Advisors to provide immigration (study permit and/or visa) support to inbound students
  • Research trends and issues related to inbound exchange students, developing strategies to overcome the challenges faced in making the transition to social and academic life at Lakehead
  • Develop new programs and social/cultural activities on/off campus that can provide inbound students with Lakehead and Canadian experiences
  • Receive feedback from inbound exchange students and provide recommendations to the manager and various offices within Lakehead to enhance the student experience
  • Any other duties as assigned

Coordination of inbound mobility programs – Engaging with Lakehead’s Global Partners 30%

  • Coordinate the inbound international mobility / study abroad program in collaboration and consultation with Lakehead’s international partner institutions, Lakehead International Student Services, the International Global Engagement team, Student Affairs departments, faculty offices, academic staff and administrators
  • Participate in information sessions hosted by exchange program partner universities to attract both inbound exchange students and fee-paying visiting students to Lakehead
  • Outreach to partners to collect the factsheet annually and the information on the nomination process
  • Administer and track the inbound nomination forms and sort them to be shared with internal stakeholders for inbound students’ admission, course registration and billing processes
  • Review learning agreements to ensure accurate information and sign off to confirm program
  • Administer inbound mobility program by the Global Affairs Canada (GAC) scholarship programs, including ELAP, SEED and SICS
  • Review inbound student exchange nominations from partner institutions and advise inbound students on the application process and logistics
  • Liaise with global partners to communicate application process and guideline for programs related to Lakehead degree programs initiated by the Global Engagement & Mobility Program Team, such as international dual degree programs, pathway programs and credit transfer programs
  • Coordinate internal discussions to develop inbound Faculty-led study tours and short-term programs to Lakehead from global partner universities.
  • Liaise with International Student Advisors, Office of Accessibility Services, and corresponding service areas at partner institutions to ensure that any necessary academic and other accommodations are in place for inbound students who require them
  • Any other duties as assigned

Administration of Tracking – Program and Budgets 20%

  • Develop tracking data to record inbound exchange seats based on the student Agreements
  • Develop tracking data to record inbound degree seeking students related to Lakehead degree programs initiated by the Global Engagement & Mobility Program Team, such as international dual degree programs, pathway programs and credit transfer programs
  • Administrator expenses/costs for programming, activities, and events for inbound students
  • Administrator tracking of special partner awards/scholarships’ date input, the end-of- project and financial reports for students through the programs related to Lakehead degree programs initiated by the Global Engagement & Mobility Program Team, such as pathway programs and credit transfer programs
  • Track pre-arrival and post experience forms submitted by inbound students
  • Maintain accurate and comprehensive files, records, and databases aligning with all the expenses related to GAC programs.
  • Providing transcripts from inbound students to Program Chairs/professors upon request

Website and database management, data collection, and presentations 10%

  • Ensure content on the Global Engagement and student mobility web pages is accurate and current.
  • Maintain mobility data
  • Produce mobility participation reports
  • Monitor the status of existing student exchange agreements and review renewals with partner institutions
  • Gather student feedback and assess student satisfaction through student experience surveys and other data collection tools
  • Produce inbound study abroad presentations

Qualifications

  • Post-secondary education, preferably a degree, ideally in a related field such as Education, Communications, Business, International Business or International Relations
  • Two (2) years of recent and relevant experience in a post-secondary environment, preferably in international education, coordinating student exchange or mobility programs, developing and/or delivering student programs, and/or student services and support.
  • Experience coordinating credit and non-credit programs such as academic exchanges, short term abroad programs, placements, internships, etc.
  • Knowledge of Intercultural competency and experience supporting students from diverse backgrounds
  • Knowledge of international student exchange programs, opportunities, scholarships, etc.
  • Knowledge of education systems outside of Canada
  • Experience living or working abroad, and comfort with traveling internationally for work is an asset.
  • Awareness of international visa regulations and application procedures
  • Strong organizational skills, ability to balance multiple tasks and manage multiple priorities simultaneously
  • Project planning and event management skills
