We currently have an exciting opportunity as a Bilingual Receptionist for a one-year contract. This role is based in our Oakville office and reports to the Executive Assistant.

Job Summary We are currently looking for a motivated, ambitious, dynamic team player to fill the position of Receptionist/Administrative Assistant. This person must be fluent in both English and French

Principal Responsibilities

  • Reception, including answering phones, greeting customers and suppliers, and maintaining visitor log.
  • Sending and distributing mail and couriers, managing stamp machine.
  • Creating and receiving PO’s, following up with accounts payable as needed.
  • General office duties, including ordering office supplies, maintaining office equipment, booking of boardrooms for guests, hotel reservations, and overall management of the administrative area, and office in general. Communicate office repair/maintenance needs to maintenance office and outside vendors as needed.
  • Offering general support Oakville customer service team when needed.
  • Other tasks as assigned.

Qualifications & Experience

  • Educational background in administration
  • 2-3 years’ experience in an administrative role.
  • Bilingual, French and English, both written and verbal.
  • Intermediate level Microsoft Office programs (Outlook, Word, Excel & PowerPoint).
  • Strong communication skills and professional phone manner.
  • Detail orientated, Strong organization skills, ability to multitask, and determine priorities.
  • Ability to work independently and good team player.
  • Ability to exhibit diplomacy and tact in dealing with a wide variety of people and positions.
  • Must be available to work in the office Monday to Friday from 8:30am to 5 pm, as well as occasional Canadian Holidays, and between Christmas and New Years.
