The Office of Alumni Relations encourages an active and positive connection between UAlberta and its graduates. With a variety of ways to engage - including volunteerism, advocacy, mentorship, career services, educational and family events, networking opportunities, awards and recognition — our work ensures alumni can continue to be part of the campus community throughout their lives.
Position Summary
With over 340,000 alumni worldwide, University of Alberta grads are leaders, innovators and change makers – driving change, building communities and making us proud.
This position helps the Alumni Recognition portfolio showcase the strength, diversity and global impact of our incredible alumni community. Whether this be via our formal awards event or letters of congratulations, this role will help identify and celebrate our most notable alumni. This role will also provide assistance with strategies to identify, promote and support alumni-owned businesses.
The Assistant works with the Program Lead Alumni Recognition to organize the call for award nominations, supports the selection process, liaises with alumni award recipients to gather necessary information and prepares documents for members of the Alumni Council Recognition Committee. They also provide event implementation support.
This role also supports our alumni on their career journey via a variety of activities offered by our Alumni Career program. From assisting with online webinars and in-person events, managing incoming applications for career-related funding grants or posting relevant information on our LinkedIn account, this position helps our alumni develop skills and resources to help them succeed. This role will also prepare materials for members of the Alumni Council Career Committee.
Duties
- Provides comprehensive administrative support to the Alumni Recognition and Alumni Careers portfolio
- Monitors the UAlberta Alumni LinkedIn account, helps to create and post content, responds to posts and tracks participation stats
- Maintains and updates the alumni-owned business vendor list
- Assists in planning and delivering alumni events
- Supports both the Alumni Awards and Career Services Alumni Council Committees by preparing materials, taking minutes and conducting follow-up actions on items discussed
Minimum Qualifications
- Post Secondary Diploma or Certificate
- Two or more years of administrative experience within an office environment
- Proficiency in Microsoft Office and Google Workspace products (Gmail, Calendar, Docs, etc.)
- Strong Interpersonal and teamwork skills
- Excellent verbal and written communication skills
- Ability to meet deadlines and manage multiple priorities
- Proven organizational skills and customer service focus
- Highly attentive to detail and accuracy
- Proven ability to handle sensitive and confidential information with discretion
Preferred Qualifications
- University degree
- Knowledge of the University of Alberta
- Familiarity with Zoom
- Knowledge of PeopleSoft
- Valid driver’s license
