About the role

The Fleet and Safety Manager is responsible for overseeing all aspects of fleet operations and transportation safety compliance. This includes supervising vehicle acquisition, maintenance, and performance, as well as implementing and managing safety protocols, training, and regulatory compliance initiatives for drivers and company equipment. The role ensures safe, efficient, and cost-effective transport operations that align with internal policies and industry regulations.

Key Responsibilities

Safety Oversight

  • Hire and onboard new drivers in compliance with the company’s Safety Plan.
  • Conduct background checks and ensure driver qualification records are complete.
  • Coordinate driver and equipment insurance with external insurance agencies.
  • Organize in-house and outsourced driver training (e.g., Dangerous Goods, Logbooks, Load Securement).
  • Maintain and update safety documentation including driver binders, truck/trailer files, and compliance records.
  • Input safety and compliance data into Axon software.
  • Report safety metrics, incidents, and action plans to upper management.
  • Handle safety-related HR tasks and driver support needs.
  • Monitor and follow up on CVSA violations, complaints, accidents, and audits.
  • Ensure compliance with applicable Acts, Regulations, and IFTA requirements.
  • Supervise safety support personnel and oversee consultant safety reports.

Daily Safety & Compliance Duties

  • Collect logbooks, bill of ladings, and documentation from drivers bi-monthly.
  • Perform audits of logbooks and match transponder scale times.
  • Print ACE/ACI border crossing documents using Border Connect.
  • Submit fuel tax filings and assist with in-house IFTA and logbook auditing.
  • Deliver documentation to external offices (e.g., Safe-trans) by specified deadlines.
  • Manage LIMA driver hours and compliance.

Fleet Management

  • Supervise the acquisition, registration, maintenance, and disposal of fleet assets.
  • Schedule and monitor repairs, service intervals, and preventative maintenance programs.
  • Coordinate with repair vendors, dispatch, and mechanics for efficient workflow.
  • Audit vehicle repair bills and oversee equipment inventory counts.
  • Manage fleet budget adherence, fuel usage, and cost-efficiency measures.
  • Monitor equipment usage hours and ensure timely repairs.
  • Maintain compliance with transport regulations and ensure equipment availability.
  • Manage spare parts inventory and place orders as needed.
  • Ensure decals and signage are applied appropriately through approved vendors.

Qualifications & Skills

  • Class 1 Driver’s License (Required or preferred)
  • 5+ years of experience in transportation safety and/or fleet management
  • Strong knowledge of transportation compliance, CVSA, IFTA, and related regulations
  • Proficiency in Axon software or other fleet/safety management tools
  • Experience coordinating training and working with third-party vendors
  • Excellent organizational, communication, and leadership skills
  • Detail-oriented with the ability to manage multiple priorities and deadlines

Working Conditions

  • On-site office and yard-based role, with occasional travel to training sites or vendors
  • May require occasional weekend or evening availability for urgent fleet or safety matters

Supervisory Responsibilities

  • Directly supervises safety support staff and works collaboratively with dispatch, mechanics, and administrative departments

Fluency in English and Punjabi is preferred for this role, as the position involves regular communication with Punjabi-speaking drivers, contractors, and team members to ensure safety, compliance, and operational efficiency.
