The Role
The Event Services Coordinator is responsible for event and facility bookings, event support and coordination for the GP Campus. As well, this role will provide support for facility bookings when required on the FV campus and be a source of resources and knowledge. Other areas of responsibility include:

Point of contact for clients when renting a facility or space for event purposes on campus.

Coordinate the event bookings on campus from application until the final invoice is issued.

Assist with event services processes – applications, facility rental agreements, event detail sheets, assisting with internal and external bookings, as well as coordinate event meetings with clients and internal partners
-
Provide event estimates and budgets for clients and internal partners.

Gather and coordinate all the clients’ event requirements with internal departments – facilities, IT, Security, food, communications, custodial, etc.
-
Liaise with the Manager, Community Engagement for required information and protocol for facility booking procedures, event rental spaces, etc.

Provide administrative support for the event services team.

Contribute to the overall success of Event Services through event coordination and by building strong relationships with internal/external partners and department services.

Prepare progress reports and present at bi-weekly Event Services Team meetings.
-
Prepare agendas and lead event meetings for large projects.
-
Collaborate and build strong working relationships and communication with internal partners - facilities, IT, Security, communications, custodial, etc.
-
Provide great customer service to all clients and guests.
-
When designated, represent or ensure appropriate representation/participation on internal and external committees involving event issues.
-
Provide support to Department on large projects and conferences – events including but limited to President’s Ball, Wolves Classic, President’s Awards Recognition, etc.

Work collaboratively with respective departments to prepare content for event marketing such as event descriptions, schedules, images, details, ticketing information.

Identify new avenues to market events.

Coordinate, supervise and troubleshoot event operations and projects
-
Ensure appropriate licensing is in place when necessary and that all government policy is followed such as AGLC, Alberta Health Services, Grande Prairie Fire Department, etc.

Liaise with Manager, Community Engagement to develop and administer promotion and advertising strategy for the division services and facilities as well as events.

Prepare and distribute promotion/marketing materials (internal and external e.g. posters, flyers, brochures, newsletters).

Other related duties as required.

Job Requirements
The successful candidate will have a diploma in business and administration and or 2 years related experience. A combination of education and experience will be considered.

strong organizational and multi-tasking skills;

an entrepreneurial spirit, specifically one who is willing to take a risk to create opportunities;

excellent communication and interpersonal skills;

Ability to work a flexible schedule as evening and weekends may be required.
