SaskBuilds and Procurement: where infrastructure, procurement, real property, facility management, logistics and information technology meet to enable the Government of Saskatchewan's Growth Plan and programs and services for citizens and communities.
The Infrastructure and Operations Branch of the Ministry of SaskBuilds and Procurement requires a well organized, highly motivated individual with excellent interpersonal skills capable of working in a high paced, dynamic multi-tasking environment to perform the role of Hardware Procurement/Asset Coordinator.
The Hardware Procurement/Asset Coordinator role includes researching products and obtaining quotes and products from vendors, managing the decision making and approval process for purchase orders, and coordinating product delivery and installation for all hardware purchases for the Government of Saskatchewan (GoS). As part of this service, this position is responsible for researching pricing, features, and availability of each product, maintaining the lease portfolio and ensuring compliance with all purchasing acts, policies and procedures.
The successful candidate must be willing and able to work independently and as part of a cohesive team to provide procurement and asset services to 13,000 clients within the GoS. You must also have strong communication skills to provide clear and concise information to clients and staff.
You will have knowledge of current IT technologies and computer hardware in order to understand client needs and effectively communicate with vendors and clients. Knowledge of word processing, spreadsheets, databases, e-mail, and financial software applications, such as ServiceNow and Oracle Financials is also required in order to enter, retrieve and format information. You must also have knowledge of purchasing and leasing procedures and principles.
The knowledge and skills required for this position would typically be obtained through several years of related experience in IT purchasing or related disciplines, and/or obtained through a Supply Chain Management Diploma.
You will have knowledge of:
- Relevant legislation, regulations, acts, agreements, policies and/or procedures;
- Applicable auditing and/or accounting practices;
- Applications, including word processing, spreadsheets, database (ServiceNow), electronic email and financial software applications (Oracle Financials);
- Current IT technologies;
- Procedures and protocols related to purchasing and inventory management;
- Inventory control practices and procedures, such as asset tracking using ServiceNow;
- Computer applications, such as MS Office software (Excel, Word, Outlook) and Internet;
- Computer hardware components, computer peripherals, printing and imaging and audio visual components, and mobile devices; and
- Purchasing practices/leasing practices.
You will have the ability to:
- Verbally and in writing provide clear, concise and timely information in response to often complex inquiries at a level appropriate to ensure government purchasing regulations are followed;
- Provide clear, concise, accurate information and instructions to peers, clients, and senior managements to ensure government purchasing regulations are followed;
- Liaise with other agencies, staff, ministries, and the public to obtain, exchange, coordinate or confirm information while maintaining confidentiality and staying within policies and procedures;
- Independently assess, establish and adjust and accurately complete multiple tasks while taking into consideration task complexity, frequent interruptions, deadlines/quota, available resources and multiple reporting relationships;
- Compile, evaluate and organize relevant information to respond to inquiries, produce in-depth documents or reports and make recommendations and/or decisions;
- Identify, clarify and analyze problems and develop solutions in an efficient and timely manner;
- Carefully compile and maintain accurate records, paying attention to detail and in a timely manner;
- Work independently and/or as a contributing member of a variety of teams to complete work assignments, achieve common goals and contribute towards a positive work environment;
- Review, enter, evaluate and report financial data using software applications and databases, such as Oracle Financials; and
- Edit, retrieve, format and transmit information with speed and accuracy using electronic systems typically used for asset and procurement management.
