VELD architect is raising rural. We are telling the story of rural Ontario through barn conversions, sustainable homes, and agritourism. We are a full-service firm that offers comprehensive services, including site planning, architectural design, technical drawings, permitting, and project management.
Based near Stratford, our studio operates virtually, supporting clients in Ontario and beyond.
What We Are Seeking
As a Studio Coordinator, you will provide administrative support to a team of designers and architects. You are at the heart of your studio’s activities and the driving force that keeps your studio and its projects moving forward.
This position ensures effective coordination among internal teams, external consultants, and regulatory authorities while maintaining accurate and timely documentation. The ideal candidate should have strong organizational skills, a clear understanding of planning and development, and the ability to collaborate effectively in a virtual work environment. A background with architecture, engineering, or construction firm experience is ideal.

Responsibilities
- Accountable for managing the site plan approval process by collecting proposals, ensuring consultants complete the scope of work, and ensuring that submission packages are complete.
- ensure successful delivery of architectural and master planning projects by providing administrative, contractual, and documentation support throughout all phases, including pre-design, pre-permit, design, site plan approval, and project closure
- Assist in implementing project management plans, track and report on project progress and deliverables.
- Provide coordination and administrative support throughout the project
- Support project setup, file creation, and maintenance of project-specific documentation
- Lead the exchange of drawings, contracts, and project correspondence in compliance with internal standards.
- Prepare, distribute, and track purchase orders, project schedules, and milestone documentation.
- Coordinate internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Attend on-site visits, field reviews, and project meetings
- Responsible for coordinating with clients, public agencies, consultants, and contractors as required
- Support and maintain standard operating procedures to help teach and train other team members
- Contribute to a team environment
- Ability to assist with statements of probable cost and project feasibility report
- Assist with creating and coordinating contracts and subconsultant agreements, including tracking deliverables, signatures, and project requirements.
- Ability to coordinate studio tasks such as preparing for monthly team meetings and monthly team sharing meetings, and preparing proposals.
- Assisting with publishing blogs and monthly newsletters.
With all this responsibility and flexibility, we do also have some expectations of you:
- Well-organized and detail-oriented problem solver with excellent time management skills
- Must be able to work independently and be disciplined to meet deadlines.
- Must be able to communicate and meet with the team and the owner regularly via meetings, text, and Project Management software (we use Zoho Projects)
- Excellent English written and verbal communication skills
- Project budget monitoring, forecasting, and backlog management.
- Lead management, client onboarding, and client experience coordinator
- Report to the CEO on project status.
In addition, you will be responsible for making productivity improvements within the office. We see your first year targeting these goals:
90 days: Familiarize with VELD systems and training,
120 days: Manage a couple of client projects and studio projects with the support of the principal architect and the team
210 days: Make improvements for improved efficiency and long-term goals
365 days: Manage several projects in various phases independently
Qualifications
Degree in business administration or similar
Minimum of 2 years of experience working in an architecture, engineering, or similar business.
Experience with planning, site plan approval, and authority approvals in Ontario
