Position Summary
The Dispatcher/Order Coordinator plays a critical role in ensuring the timely and efficient movement of materials, meeting shipping schedules, and maintaining accuracy in all inbound and outbound shipping activities. This position requires careful coordination to determine the most cost-effective shipping methods while optimizing productivity.
As a key contributor to Bailey’s shipping and receiving operations, this role directly affects the company’s success. Proper handling of materials safeguards against damages, prevents costly back charges, and helps maintain strong customer relationships.

Job Duties

The responsibilities and accountabilities of the position include but are not limited to the following:

Operational
-
Determine the shipping priorities, schedule, work assignments, shipping routes, shipping methods, and arrange shipping.
-
Prepare bills of lading, export documents, manifest and other necessary documents.
-
Determine space requirements and position of shipment in box cars, trucks and trailers.
-
Coordinate with various carriers, negotiate and compare quotes before placing orders.
-
Oversee loading and unloading of materials from trucks or other conveyances.
-
Inspect and verify incoming goods against invoices or other documents, record shortages and reject damaged goods.
-
Provide feedback to purchasers and route goods to the appropriate storage areas.
-
Ensure compliance with loading specifications and customer requirements.
-
Check pre-use inspection sheets for trucks and notify supervisors/outside contractors for any defects.
-
Arrange for maintenance and repair work for trucks; negotiate and monitor repairs.
-
Post weight and shipping charges and log driver’s reports.
-
Prepare and develop truck reports, monitor billing and other necessary reports and summaries.
-
Review all maintenance reports, identify issues, reports and implement corrective actions.
-
Liaise with plant, scheduling and customer service departments to ensure delivery requirements are met.

Train drivers on job duties, safety procedures and applicable company policies.
-
Operate forklift, hand truck or other equipment to load, unload, transport and store goods.
-
Conduct and document regular driver meetings to discuss and review new procedures, company policies, and safety talks.
-
Assist Warehouse Supervisor with work delegation in the warehouse to ensure orders are ready for loading.

Monitor and advise commercial vehicle operator (CVOR) status to management.

Health and Safety

Maintain working knowledge of all Health and Safety policies.

Correct and communicate on any unsafe conditions/acts to the supervisor, JHSC and Corporate Health and Safety Manager.

Support and promote all aspects of the Health and Safety program.

Other
-
Maintain a high standard of professional knowledge, ethics and practices when dealing with customers, suppliers, peers, subordinates, supervisors and other key stakeholders of the company.

Conduct oneself in a professional manner that reflects integrity and respect towards customers, suppliers, peers, subordinates, supervisors and other key stakeholders of the company.

Other responsibilities and accountabilities as assigned by the National Logistics and Distribution Manager.

Requirements
-
High School diploma.
-
5 to 7 years of dispatching experience.
-
Experience using a TMS system for booking carriers (i.e. Manhattan).
-
SAP knowledge and experience with reference to Warehouse Management and Shipping.
-
Experience in a manufacturing environment (preferred)
-
Experience in a counterbalance forklift operation warehouse experience is an asset.
-
Experience using strapping machines, natural gas fuel station, chop saws, mobile ladder and two-way radios.

Health and Safety

- No equipment, tools, or machinery will be used without authorization and training.
- Do not place hands or fingers near rolls during jogging operation to avoid pinch points.
- Workers must be alert to all forklift and crane traffic and movement in the plant and warehouse areas.
- At no time will an associate walk under a raised lift of materials.
- All manual handling will be performed using proper safe techniques.
- Report all hazards, accidents, incidents, and near misses promptly to the supervisor.
- Comply with all Bailey’s safety program requirements including ESRTW (Early & Safe Return to Work), Lockout, Pre-use inspection, etc. as delineated in the Health and Safety Manual.
