Job Description

Reporting to the Supervisor, Records and Information Management, the Records and Information Management Coordinator supports the Corporate Records and Information Management (RIM) Program across the organization, with a focus on electronic records management. The Coordinator provides guidance and assistance to all corporate departments related to the management of all records.

Responsibilities:

  • Assist with the implementation of Corporate Records and Information Management (RIM) policies and systems in accordance with the RIM Strategy
  • Manage records retention and destruction to ensure compliance with the City's Records Retention By-law and MFIPPA, and assist staff with record management tasks
  • Assist in maintaining the corporate classification system for all records
  • Respond to information requests from staff and the public
  • Maintain all corporate SharePoint sites with attention to RIM best practices, support branches with electronic record destruction, assist in creating new libraries, and coordinate with ITS to grant appropriate site access
  • Lead the City’s Forms program: ensure compliance with legal standards, maintain an accurate inventory, develop and implement policies and procedures, and provide guidance and training to staff
  • Participate in RIM projects, conduct research on new legislation, and assist in drafting policies, procedures, and reports to enhance corporate records management
  • Participate in various election activities, and serve as a member of the City Clerk’s (Control Officer) team as part of the Emergency Operations Centre
  • Support and demonstrate the City of Oshawa’s core values of Authenticity, Courage, and Trust
  • Perform other duties as assigned

Requirements:

  • Completion of a four (4) year degree in Records and Information Management, Library and Information Management, Public Administration or related discipline, plus a minimum of three (3) years relevant experience in a municipal environment, or an equivalent combination of experience and education
  • Certified Records Manager (CRM), Certified Information Professional (CIP) or other Records and Information Management certification
  • SharePoint Certification or a minimum of two (2) years’ experience
  • Archival Records experience considered an asset
  • Completion of Municipal Administration Program (MAP), or willingness to obtain
  • Extensive knowledge of the Municipal Act, the Municipal Freedom of Information and Protection of Privacy Act, and other related legislation and records management standards governing municipal records
  • High level of proficiency in computer applications (i.e., Microsoft Office Suite—including Excel, Outlook, Word, and PowerPoint), Adobe Acrobat, and SharePoint)
  • Strong interpersonal and communication skills with the ability to effectively communicate at all levels of the organization
  • Experience handling and maintaining confidential and highly sensitive material with tact and discretion
  • Ability to work evenings and overtime as required
