About the role

Freedom International School (FIS) is seeking an Office Administrator and Bookkeeper for the 2025-26 academic school year.

FIS is a registered charity in the heart of Winnipeg’s West End serving newcomer and former refugee youth, ages 12-21, providing specialized, trauma-informed, accredited middle and high school education in a Christ-centered environment. We are a small, close-knit Christian school whose students are predominantly newcomers to Canada. Like other independent schools, we are partially funded by the Manitoba government. As our tuition fees are extremely low, we also rely heavily on donations. Working at our school tends to be rewarding, challenging, changeable, and fun - often in the same hour. We are a group of Jesus followers seeking to use our skills and resources to be a blessing to our community!

Job Summary

The ideal candidate will be a committed follower of Christ who is trauma-informed and has experience coming alongside newcomers. Under the supervision of the Director of Finance, the incumbent primarily provides clerical and bookkeeping support within the school, as well as a few duties directly interacting with students. The successful candidate requires good organizational and interpersonal skills; ability to adapt with flexibility in job duties and constant interruptions; and grace to deal kindly and wisely with staff, students, student’s families, and the general public.

Administrative Assistant duties and responsibilities include but are not limited to:

  • Provides secretarial support to the school administration which includes handling of confidential material, submissions to the Department of Education, managing digital calendars, etc.
  • Types, formats, and proofreads a variety of material such as correspondence, minutes, agendas, etc.
  • Provides clerical assistance which may include preparation of general correspondence, reports, forms, etc.
  • Answers telephone, redirects calls, and/or takes messages and answers general inquiries
  • Manages entry door intercom, greets and screens visitors and appointments; contacts parents, volunteers, community members, and organizations when necessary and appropriate
  • Responsible for student registrations and maintaining student records; assigns lockers
  • Advises of student absences, provides initial check in on missing students
  • Checks doors and lights at end of day; forwards maintenance requests to Facilities Manager
  • Assists with AV as needed (basic soundboard training provided)
  • Monitors & restocks office supplies; maintains material inventory information
  • Other duties as assigned

Bookkeeper duties and responsibilities include but are not limited to:

  • Records and files expenses; records in-kind food donations
  • Manages tuition fees: receives and logs payments and credit memos, issues statements, collects overdue fees in collaboration with Director of Finance and Principal
  • Prepares bank deposits

Student-related duties and responsibilities may include but are not limited to:

  • Provides in-class assistance to Gym teacher two afternoons per week
  • Drives students to and from gym class and other events as needed in 15-22 passenger vehicles; picks up food donations with Food Coordinator
  • Shepherds students by building and maintaining good relationships; encourages them into classes or out of the building as needed
  • Participates in early planning for summer programming; assists students with camp registration and bursary application; assists students participating in our summer employment program with applications, interviews, contracts, police checks, etc

Requirements:

  • Acceptance of the FIS Statement of Faith and Vision
  • Completion of secondary education with 1-2 years of office and bookkeeping experience and relevant coursework/training
  • Proficient in word processing, spreadsheet and presentation software at an intermediate level; Google suite an asset
  • Accurate keyboarding of at least 40 words per minute
  • Experience with Quickbooks Desktop an asset
  • Valid class four driver’s license by September and acceptable driver abstract
  • Criminal background check

  • Demonstrated ability to effectively contribute to a team environment; ability to maintain a high level of confidentiality
  • Passionate about trauma-informed Christian education that seeks to make a meaningful impact on students' lives
