Litigation Legal Assistant for mid-size law firm client, North York.

Job Type: Full-Time Permanent
Compensation: From $50,000 to $55,000 per annum + benefits.
Regular Work Hours: 7.0 hours per day not including 1 hour lunch break, to be worked during regular business hours, Monday to Friday (35 work hours per week).
Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's North York office, with free parking provided.
Position Supports: 1-3 lawyers.
Responsibilities Summary:
Provide legal administrative support services to a busy commercial litigation team, with a focus on bankruptcy and recovery. Will liaise with a variety of stakeholders, including clients, opposing counsel, court staff, and agents, utilizing strong organizational skills and a solid understanding of litigation processes.
- Conduct conflict searches and manage the opening and closing of files.
- Perform searches using TransUnion, Equifax, Ministry of Transportation of Ontario (MTO), and Teraview databases.
- Draft, finalize, and send demand letters, letters serving court documents, and other correspondence.
- Submit court documents through the JSO portal.
- Arrange for, and follow up on service of Statements of Claim.
- Prepare legal documents including Affidavits of Service, Satisfaction Pieces, and Notices of Discontinuance.
- Coordinate with the Trial Coordinator’s office to obtain and confirm Motion dates.
- Compile, serve, and file Motion Records, Factums, and Briefs of Authorities.
- Upload documents onto Case Centre and hyperlink them as required by Practice Directions.
- Request and coordinate Skip Trace searches.
- Liaise with debtors, opposing counsel, court offices, and other legal professionals.
- Prepare, review, and finalize monthly prebills and legal invoices.
- Additional legal administrative support responsibilities as required.
Qualifications:
Education: Post Secondary Degree or Diploma in Legal Administration or equivalent combination of education and work experience.
Preferred Work Experience: Approximately 3+ years of experience supporting a litigation practice.
Sector Experience: Law Firm experience required.
Technical and Language Skills Requirements:
- Advanced proficiency in standard MSOffice applications including Word, Outlook and Teams (will be tested).
- Fast and accurate typing skills and attention to detail (will be tested).
- Proficiency with legal databases and court portals such as JSO and Case Centre.
- Strong English communication skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.
Task -Based Qualifications and Additional Attributes:
- Familiarity with Ontario Rules of Civil Procedure.
- Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
- Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
- Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
- Superior attention to detail, and organized, methodical approach to completion of tasks.
- Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.
- Demonstrated ability to work well both independently and collaboratively, and liaise effectively with a wide and diverse range of internal and external stakeholders.
Additional Requirements:
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work both remotely and onsite, abiding by organization health and safety policies.
- Ability to declare personal Non-Conflict of Interest in execution of position responsibilities.
- Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
