Job Description Position Summary
Reporting to the Facilities Manager, the Facilities Operations Coordinator will develop collaborative relationships with executives, senior managers, consultants and other internal and external stakeholders and provide general administrative support including report management, database administration, document generation and control.
Key Responsibilities
- Facilities contract management and contractor oversight
- Coordinate with Senior Management to optimize office space
- Coordinate office moves and space assignment
- Coordinating facilities work assignments on behalf of Nordion as landlord
- Initiating and managing work permits, change forms and related documentation
- Preparing and file management of documents, maintaining records including database records
- May participate in audits (CNSC, ISO, other regulatory bodies, internal and external customers) as the Facilities Representative
- Collaborate with Facilities Team members in the drafting of correspondence and documents, which can include technical project documents
- Preparing summary presentations from large volume texts, customer letters, legal contracts
- Coordinate new employee training/orientations within the department
- General administrative duties as required (such as Word processing, PowerPoint presentations, Excel worksheets, drafting quotations, invoicing)
- Managing purchases and track and prepare expense submissions
- Handling incoming and outgoing mail
- Arranging calendars and scheduling appointments
- Responding to customer/clients calls as required
Qualifications Post-secondary diploma in a business discipline (preferred)
5 years of related experience in an office environment at a regulated manufacturing site
Skills and Competencies
- Proven organization skills
- Negotiation skills
- Ability to direct and oversee multiple contractors related to facilities management
- Strong interpersonal skills to effectively work with internal and external stakeholders that can include senior executives, suppliers, and customers
- Ability to work independently
- Pro-active, detail oriented and possess sound judgment abilities
- Excellent written and verbal communication skills in English
- Must be professional, courteous and efficient
- Excellent time management skills and ability to perform multiple tasks
- Proven proficiency in windows-based software applications, including Word, Excel and PowerPoint
- Familiarity with Oracle system preferred
