Job Description
Project Documentation & Reporting
- Assist in preparing AFE (Application for Expense) documents by compiling technical, financial, and scheduling inputs
- Maintain organized project files including specifications, drawings, vendor documents, and MOMs
- Draft and circulate meeting minutes and track action items
Scheduling & Planning Support
- Update and monitor Gantt charts or project schedules (Excel/MS Project)
- Coordinate shutdown execution plans with internal stakeholders and contractors
- Assist in tracking progress against milestones
Procurement & Vendor Coordination
- Prepare and submit purchase requisitions in line with project scopes
- Follow up with vendors for documentation, quotes, material deliveries, and FAT/SAT documentation
- Support technical bid evaluations and maintain procurement trackers
- Coordinate with the CMMS tech to issue POs and release PO
- Follow up with vendors and subcontractors for Invoices
Cross-Functional Communication
- Act as a liaison between project, production, QAQC, maintenance, and procurement teams
- Schedule meetings and follow-ups with contractors and suppliers
- Track compliance documents, insurance certificates, and contractor onboarding
Cost & Budget Tracking
- Update budget forecasts with actuals and committed spend
- Support cost-saving analysis and provide data for monthly reviews
On-Site Coordination
- Support plant visits during installation or commissioning phases
- Record observations and assist with checklists during shutdowns or FAT/SATs
- Ensure safety protocols and documentation are in place for contractors
Expectation from the Role:
- Formal education or qualification in the relevant field with relevant experience in the manufacturing field or engineering industry.
- At least 3+ years of solid background in manufacturing with experience in projects co-ordination and project management
