About the Role:

Reporting to the Customer Service Manager, the Bilingual Customer Service Representative will play a vital role in managing product and order inquiries—focusing heavily on consumables—while supporting the full customer order lifecycle with accuracy, care, and professionalism. You will work closely with Procurement, Warehouse, Finance, Sales, and Quality/Regulatory teams. You'll not only enter orders and process returns—you’ll help strengthen the entire supply chain by identifying gaps, solving issues, and creating smooth, customer-focused processes.

The successful applicant will:

  • Process incoming orders, credits, RMAs, and incident reports in line with SOPs and GMP practices.
  • Support sales and product promotions by ensuring customers are informed at point-of-order.
  • Maintain accurate client files, payment terms, pricing, and authorizations.
  • Escalate issues such as stockouts, delivery delays, or product discrepancies.
  • Collaborate with Sales, Operations, Finance, and Customer Service teams to ensure timely order fulfillment.
  • Provide exceptional support via phone and email and assist with occasional reception coverage.
  • Participate in cross-functional initiatives to improve customer service processes.
  • Suggest operational improvements and take part in improvement groups.
  • Ensure accurate data entry and support for customer accounts and service documentation.

We are seeking a candidate with the following experience and attributes:

  • Secondary School Diploma (required).
  • Post-secondary education or relevant certification an asset.
  • Minimum 3 years of customer service experience, ideally in medical, aesthetic, or health-related industries.
  • Experience with ERP systems (Great Plains is a plus), proficiency in Microsoft Office Suite.
  • Bilingual: English and French (spoken and written).
  • Strong attention to detail, problem-solving ability, and commitment to teamwork.
  • Comfortable handling high volumes and tight timelines while maintaining professionalism.
  • Positive, approachable, and calm under pressure.
