Your opportunity:
The Office of the Vice Dean, Research & Health Sciences Education oversees research undertaken for the Temerty Faculty of Medicine and coordinates with its counterparts at the affiliated hospital research institutes for clinical research. This includes grant proposal development, administering internal funding allocations, collecting and reporting on research productivity metrics, and managing core research facilities.
As Financial Administrator, you will support the day-to-day financial administration of research grants and operating accounts for our department. You will work closely with our administrative team to provide a broad range of financial services and support, including coordination of payroll processing for trainees and casual research staff, posting and monitoring financial transactions, and maintaining payroll and financial records. Your enthusiasm, superior organizational skills and attention to detail will contribute to our success.
Your responsibilities will include:
- Processing financial and payroll transactions such as AP/AR, expense reimbursements, journal entries, and more
- Interpreting and communicating financial guidelines and procedures, ensuring adherence to granting agency and University guidelines and procedures
- Tracking and monitoring research accounts and preparing progress reports for granting agencies
- Investigating discrepancies and making recommendations on the utilization of research funding
- Reviewing payroll distribution reports and preparing and reconciling monthly financial reports
Essential Qualifications:
- Advanced College Diploma (3 years) with training in accounting and/or business or acceptable combination of equivalent experience
- Minimum three years' related experience preferably in a University setting, or equivalent environment
- Demonstrated experience processing financial and payroll transactions and preparing financial reconciliations, analyses and recommendations
- Experience interpreting and applying financial and research guidelines and procedures
- Experience compiling, sorting and organizing financial data
- Experience providing research grant information and fielding inquiries
- Experience liaising and building relationships with internal and external stakeholders
- Advanced proficiency with MS Office Suite
- Proficiency with SAP systems, including Financial Information System (FIS), Human Resources Information System (HRIS), and Research Information System (RIS), or similar systems
- Excellent communication (written and verbal) and interpersonal skills
- Strong organizational skills and an ability to work in a high volume environment that requires multi-tasking on varied duties and an ability to prioritize effectively and work under pressure
- Ability to accurately interpret and apply guidelines, procedures and regulations in a variety of situations
- Ability to professionally communicate complex financial procedures
- Accuracy and attention to detail are crucial
- Ability to anticipate demands/pressures of assignments and adapt accordingly to meet critical deadlines
- Demonstrated initiative, resourcefulness, and self-motivation
- Ability to exercise good judgment and tact in dealing with faculty members, students and staff
