About the role

The Durham District School Board acknowledges that many Indigenous Nations have longstanding relationships, both historic and modern, with the territories upon which our school board and schools are located. Today, this area is home to many Indigenous peoples from across Turtle Island. We acknowledge that the Durham Region forms a part of the traditional and treaty territory of the Mississaugas of Scugog Island First Nation, the Mississauga Peoples and the treaty territory of the Chippewas of Georgina Island First Nation. It is on these ancestral and treaty lands that we teach, live and learn.

Job Summary Reporting to the Payroll Manager, responsible for processing payroll for over 10,000 employees, including union and non-union staff in Teaching and Educational Services. Duties include preparing and validating payrolls, analyzing payroll and benefits reports, addressing employee inquiries, and ensuring compliance with legislative requirements and collective agreements.

Major Duties Payroll Processing:

  • Prepare and process payroll, ensuring adherence to legal, policy, and contractual obligations.
  • Verify and process timesheets, including exceptions for EI rebates.
  • Manage deductions for Short Term Sick Leave and monitor sick leave usage.
  • Update employee information changes and manage terminations and salary adjustments.
  • Process various deductions and voluntary contributions accurately.
  • Handle manual cheques, investigate banking issues, and manage overpayments.

Payroll Public Relations And Communications

  • Respond to employee inquiries and manage sensitive information.
  • Communicate with external agencies regarding records of employment and garnishments.
  • Coordinate with HR for Workers’ Compensation and insurance claims.

Records Management And Claims Processing

  • Complete Service Canada audits and process grievance pay-outs.
  • Handle Records of Employment, garnishments, WSIB, and insurance claims.

Benefits Administration

  • Maintain knowledge of benefits under collective agreements and master policies.
  • Calculate benefit premiums and manage changes in payroll deductions.
  • Coordinate benefit payments for employees on unpaid leave or retiring.

Calculating And Reporting

  • Manage pension contributions and reporting for OMERS and TIM.
  • Input leaves accurately in the Teachers Information Management System (TIM).
  • Respond to inquiries related to TIM and pension eligibility.

Administrative Support

  • Perform general administrative tasks including document management and filing.

Additional Duties

  • Assist with tasks as assigned by the Payroll Manager.

Equipment Used: Computer, printer, calculator, photocopier, fax machine, telephone, date stamper, paper cutter.

Qualifications And Skills

  • Post-Secondary School Diploma in relevant field.
  • Two years of related experience.
  • Payroll Compliance Practitioner Certification (PCP) or demonstrated equivalent experience required
  • Knowledge of GAAP, electronic payroll systems, and collective agreements.
  • Strong attention to detail, analytical skills, and ability to manage deadlines.
  • Proficient in Microsoft Office and handling confidential information.

Additional Requirements And Information

  • Provide a current Criminal Background Check with vulnerable sector screening upon hire.
  • This is a 35 hour per week, 12 month, permanent position.
