The Township of Springwater, located in the heart of Simcoe County, is a mixed urban/rural municipality with growing urban settlements and a prosperous agricultural sector. The municipality is currently recruiting for a permanent, full-time position of Administrative Assistant, Public Works & Infrastructure.

Reporting to the Director of Public Works & Infrastructure, the Administrative Assistant, Public Works & Infrastructure provides administrative support to the Director of Public Works & Infrastructure, which includes preparing correspondence, reports and meeting agendas/minutes, responding to inquiries, screening calls, recording and dispatching information, scheduling appointments, maintaining files and databases and other support duties as assigned.

Position Responsibilities

The usual responsibilities of the position are:

  • Provide confidential and non-confidential administrative support to the Director of Public Works & Infrastructure.
  • Answer, screen, direct and record incoming calls and complaints; resolve routine and complex inquiries; provide information and/or follow up as required. Dispatch information, personnel and/or equipment for emergency or routine maintenance based on Township policies and procedures.
  • Assist with inquiries to routine or basic water/wastewater troubleshooting.
  • Liaise with internal and external contacts regarding Corporate related matters or to schedule appointments, meetings, and amenities.
  • Compose, draft, type, edit, format, and distribute various communication, correspondence, documents, or presentations. Coordination of photocopying, collating, binding, and distributing various correspondence, documents, or presentations.
  • Register the Directors and direct reports for conferences and various events; review and submit to payroll any expense claims and business meeting expenses, ensuring compliance with Township policy.
  • Prepare and distribute departmental meeting agendas, minutes, or materials, and required follow-up.
  • Record and transcribe meeting minutes for various meetings as assigned.
  • Assist with planning and participating special events, workshops, committees, working groups, and special projects for departmental or strategic corporate initiatives.
  • Assist with departmental payroll functions, including inputting payroll data, ensuring accuracy and completeness, checking timecard data, time off requests and maintaining employee data records and databases.
  • Provide support the Executive Assistant to the Mayor, Council & CAO as needed including backfilling when necessary.
  • Perform other duties as assigned or as required in accordance with corporate objectives.

Qualifications and Experience

  • Minimum of a two (2) year College Diploma in Business Administration or related discipline. Three (3) year University Degree in Business Administration or related discipline is preferred.
  • Completion of the Municipal Administration Program (MAP) Certificate from the Association of Municipal Managers, Clerks, and Treasurers of Ontario (AMCTO) is preferred.
  • Two (2) years of experience performing duties related to the major job responsibilities, with previous experience within a municipal or public sector work environment preferred.
  • Demonstrated ability to build relationships, communicate effectively both oral and written, problem solve, and influence without authority.
  • Ability to maintain discretion and confidentiality of information is critical.
  • Ability to meet strict timelines and focus on shifting priorities as needed.
  • Demonstrated ability to negotiate and handle complaints to resolve conflict.
  • Intermediate computer literacy using the following systems and software – Microsoft (Word, Excel, Power Point, Outlook, Teams, etc.) and Zoom; experience with PSD CityWide is an asset.
  • Ability to accommodate deadlines or peak period workloads that may extend beyond designated normal workday hours or normal hours of work per week. Available to attend evening / weekend meetings and events as required.
  • Valid Class G driver’s license in good standing and reliable vehicle to use on corporate business.

Rate of Pay

The Township of Springwater offers a competitive salary and a comprehensive employee benefit plan, including participation in the OMERS pension plan for this position. Compensation for this position is currently $52,703.98 to $61,684.09 per annum (2025 rate).

Hours of Work

This position will work 35 hours per week; however, occasional hours outside of normal business hours may be required.
