THE POSITION

Reporting to the Director, Event Operations, the Manager, Event Operations is responsible for the daily coordination of the Event Operations Department and its staff within. This position will coordinate and execute all projects assigned on behalf of the Calgary Flames, Calgary Stampeders, Calgary Roughnecks, Calgary Hitmen, Calgary Wranglers, Concerts, and special projects.

KEY ACCOUNTABILITIES

  • Management and coordination of annual CSEC game & non-game related events at the Scotiabank Saddledome and McMahon Stadium. (ie: games, team related events, concerts, special events, etc.)

  • Support the Director, Event Operations and Director, Business Operations with the planning and execution of CSEC game related celebration events at the Scotiabank Saddledome and McMahon Stadium (ie: NHL Playoffs, NLL Final, CFL Semi & Finals, Player Retirements, etc.)

  • Assist with the development of protocols and workflow procedures for the event planning process with all CSEC internal departments.

  • Manage and coordinate with external vendors as it relates to Special Events including site visits, event load-in, day of execution, and post event strike.

  • Management of all Event Operations Department staff on the coordination of operations and production related event logistics (event briefs, floorplans, building permits, electrical requirements, event rentals, décor, F&B requirements, etc.)

  • Coordinate and develop critical paths, workback schedules, roles and responsibilities to ensure all special events and projects are on task.

  • Provide support and coordination of all pageantry, directional signage and print materials required for special events & projects.

  • Support the Director, Event Operations with management of event related budgets for both CFLP and CSLP.

  • Coordinate with Building Operations staff on all logistical elements within all non-game related events (conversion, security, ushering, labour, production schedules, etc).

  • Oversee Event Department staff on the coordination of the event agenda, run of show, Game Presentation & Broadcast departments on the development of the event agenda, run of show, scripting, etc.

  • Oversee Events Department staff to ensure that all sponsorship contract elements are delivered.

  • Assist the Director, Event Operations on implementation of Special Event Emergency Response Plan, Incident Command Procedures and other risk management and crowd management situations.

  • Oversee and manage VenueOps software and ensure all internal departments and staff complete work orders, task assignments and event detailing as required.

  • Oversee and manage SocialTables software, including staff integration, training and updating the venue library.

  • Oversee and manage ClickUp software, including creation of projects, tasks and overall staff assignments.

  • Management of all supplies and inventory items within the Event Operations department. This includes oversight on tracking, branding updates, maintenance, and repairs.

  • Actively participate in safety programs and follow policies;

  • All other duties as assigned.

THE INDIVIDUAL

The ideal individual will have the following background:

  • Post-Secondary education in Event Management and Production;

  • 5+ years of progressively more responsibility in the event industry with a good understanding of event production elements including rigging and logistics;

  • Solid experience in a fast-paced organization with the ability to focus and deliver on tasks;

  • Intermediate to advanced skill set in collaborative problem-solving techniques.

  • Excellent communication skills, both written and verbal;

  • High Emotional Intelligence is required to be successful;

  • Ability to work in a fast-paced environment;

  • You are exceptional in managing priorities, despite deadlines, and have a strong sense of prioritization and ability to follow up on outstanding tasks in a proactive manner;

  • Exceptional Microsoft Office skills are required;

  • You are results driven, coupled with exceptional communication skills;

CERTIFICATION

  • Post-secondary education in related field and/or relevant industry experience.
