To provide administrative support as assigned to the office of the Vice President of Clinical and Support Services, Clinical Directors, Managers, Coordinators and Clinical Leadership teams including Physicians to support key hospital functions of quality, safety, risk, research, data collection and departmental supporting structures and working in an environment requiring extreme confidentiality and discretion.

Requirements:
- Minimum two (2) year diploma in Office Administration from a community college or equivalent combination of education and experience
- Minimum two (2) years of relevant experience
- Experience in an office setting preferred
- Medical Affairs/experience working with physicians an asset
- Medical Terminology certificate an asset
- Minute taking skills
- Ability to maintain databases
- Requires proficiency in MS Office suite and Adobe Acrobat applications
- Required to type a minimum of 60 words per minute
- Ability to create and revise forms and documents
- Excellent interpersonal skills, excellent oral and written communication skills
- Excellent front line customer service skills emphasizing confidentiality, tact, diplomacy and protocol
- Strong organizational skills and ability to balance multiple priorities and work within deadlines
- Demonstrates ability to work independently and as part of a team
- Ability to adapt to a changing and fast-paced environment
- Embodies the LEAN ideology by actively and continually seeking opportunities for continuous improvement.
- Must have demonstrated ability to meet the attendance standards of the Hospital
- Bilingualism preferred (French/English)
Responsibilities:
- Provides administrative support or other support as assigned.
- Provides physician recruitment initiatives by assisting with site/community visit planning logistics.
- Provides logistical support for a number of committees and working groups including scheduling, agenda/minute template formation, meeting package preparation and minute taking.
- Assists with maintaining and updating physician on-call schedules.
- Responsible for logistical components of event planning (i.e. meetings, trave arrangements, catering, room bookings, etc.).
- Assists in special projects, forms development, databases, aggregating data and metrics compilations and in the day-to-day operation of the office of Administration as assigned.
