What You’ll Do:

We are currently seeking a highly organized and compassionate Intake Coordinator to join our team. This role serves as the first point of contact for participants, clients, and contracted agencies. The Intake Coordinator plays a vital part in both administrative and clinical functions, ensuring smooth onboarding of new clients, accurate data entry, contract coordination, and excellent relationship-building with community partners.

Responsibilities:

· Intake Coordination: Manage new client and contract intakes, match clients with appropriate services, maintain accurate records, and ensure timely processing of all related documentation. Serve as the first point of contact, creating a welcoming and professional first impression.

· Contract & Data Management: Prepare, track, and renew service contracts; manage billing and database entries in applicable programs; compile monthly statistics and reports.

· Client & Agency Relations: Act as a liaison with clients, families, community partners, Indigenous communities, and referring agencies.

· Administrative Support: Assist with reception, systems and electronic case management support; ensure smooth day-to-day operations.

· Program & Clinical Support: Provide administrative support to therapists, including ensuring client files progress appropriately; conduct in-person intake interviews and support agency best practices.

What We’re Looking For:

We value diverse perspectives and experiences. To thrive in this role, you’ll need:

· Bachelor’s degree in Social Work, Psychology, or related field—or equivalent experience and training.

· Minimum 2 years experience in administration, intake coordination, or client services role. Clinical experience is an asset.

· Understanding of Indigenous cultures and the Truth and Reconciliation Commission’s Calls to Action.

· Bilingual (English/French), Indigenous language preferred.

· Exceptional interpersonal and communication skills, both written and verbal.

· Demonstrated ability to maintain confidentiality and manage sensitive information with professionalism and discretion.

· Proficient in Microsoft Office.

· Ability to multitask and maintain organization in a dynamic environment with a strong attention to detail.

· Must provide a current Criminal Record Check and Adult/Child Abuse Registry Checks.
