Position Purpose
The Accounts Payable (AP) Specialist , as a subject matter expert, plays a key role in ensuring the efficient and accurate processing of invoices at Steve Madden Canada. This position involves active collaboration with vendors, internal teams, and the accounting department to ensure smooth financial operations.
Key Responsibilities
- Manage day-to-day accounts payable inquiries, respond to vendor questions, and resolve payment issues.
- Monitor the general AP inbox and work with internal teams (Purchasing, Logistics, Finance) to ensure prompt follow-up.
- Review and reconcile vendor statements and resolve discrepancies in a timely manner.
- Accurately and efficiently process invoices to ensure on-time payments.
- Identify and take advantage of early payment discounts by ensuring timely processing.
- Collaborate with internal departments (Purchasing, Warehousing, Logistics) to quickly resolve AP-related matters.
- Support AP team members with escalations and help prioritize tasks according to business needs.
- Assist with continuous improvement initiatives to enhance AP processes and efficiency.
- Record proper journal entries in the ERP system (SAP or equivalent), with manager approval.
- Participate in month-end closing by ensuring all AP transactions are properly recorded.
- Ensure compliance with internal policies and regulatory requirements.
- Assist with special projects and ad-hoc tasks as needed by the Finance team.
Qualifications
- High school diploma required; college or university degree in Accounting, Finance, or related field is a strong asset.
- Minimum of 3 years of experience in a similar AP role, preferably in a retail or fashion industry environment.
- Proficiency in Microsoft Excel; experience with SAP, Oracle, or other ERP systems.
- Ability to work independently with a high level of accuracy and attention to detail.
- Strong data entry and organizational skills.
- Excellent time management and communication skills (written and verbal).
