Are you a detail-driven operations professional who can juggle schedules, solve problems, and keep financial records tight and accurate? GoodDoors Property Management is hiring a Maintenance Coordinator & Operations Support to help us keep our properties running efficiently — and our books balanced.
This hybrid role blends field coordination, contractor communication, and light accounting. You’ll be the go-to for managing maintenance tickets, scheduling inspections, and updating stakeholders — while also supporting critical back-office functions like move-out processing, fee application, and bank reconciliations.
Key Responsibilities & KPIsMaintenance Coordination
- Assign & Monitor Work Orders
Triage incoming requests in Property Meld, assign to vendors or techs, and follow up until resolved.
KPI: 95% of maintenance requests assigned within 1 business day.
- Tenant & Owner Communication
Keep stakeholders informed on job status through consistent communication.
KPI: Communication logged on 90% of open work orders.
- Vendor & Inspection Scheduling
Schedule trades, inspections (seasonal, interior, move-outs), and ensure access is arranged.
KPI: 100% of inspections completed on schedule.
- Invoice Processing & Job Closure
Review and code invoices from vendors. Ensure all work order documentation is complete.
KPI: 100% of invoices processed within 2 business days of receipt.
Accounting & Administrative Support
- Charge Fees to Owners and Tenants
Apply fees for damages, lease violations, or maintenance as needed.
- Process Move-Outs
Finalize accounts, apply deductions, and close files post move-out.
- Mail Handling
Collect mail and ensure outgoing payments (e.g., paper checks) are mailed on schedule.
- Bank Reconciliations
Assist with monthly bank reconciliations for operations and trust accounts.
KPI: 100% of reconciliations completed and submitted by the 5th business day of the month.
What You Bring
- 2+ years in property management, bookkeeping, or admin operations
- Experience with reconciliation, invoice coding, or tenant/owner accounting
- Strong organizational skills and high attention to detail
- Tech proficiency (Property Meld, PropertyMe, Buildium, Excel, etc.)
- Clear communicator with a proactive, follow-through mindset
- Valid driver’s license for local errands and deliveries
- Laptop & Smartphone that you can use for work
