Nature and Scope of Work:
This is complex and varied clerical work which involves reading police occurrence files to ensure for completeness of content and quality in accordance with established rules, regulations, policies and procedures. An incumbent of this class reviews the application of Uniform Crime Report (UCR) scoring; ensures the completeness, currency and validity of coding, record entries and documentation; checks for proper documentation of investigational procedures and evidentiary requirements; corrects errors that are clearly evident; returns files to police members to follow up on incomplete, incorrect, or omitted information; and provides direction to members and other staff to ensure compliance with policy and procedures. Considerable independence of judgement and action is exercised within departmental policies and procedures with difficult or unusual problems referred to a superior. Work performance is reviewed by a superior in terms of effectiveness of services rendered.

Required Knowledge, Abilities and Skills:

  • Thorough knowledge of the rules, regulations, policies and procedures applicable to maintaining police files and records.

  • Thorough knowledge of the Uniform Crime Report (UCR) code systems applicable to the Criminal Code of Canada and other applicable Federal and Provincial statutes.

  • Considerable knowledge of clerical and recordkeeping methods and procedures.

  • Ability to read occurrence files for completeness of content and quality, to check for proper documentation of investigational procedures and evidentiary requirements.

  • Ability to ensure the completeness, currency and validity of UCR coding and CPIC files and records.

  • Ability to ensure that departmental files and records are maintained in accordance with established rules, regulations, policies and procedures and to perform notification when file is deficient or to make corrections as required.

  • Ability to provide direction to members and other staff to ensure that all documentation comply with prescribed policies and procedures.

  • Ability to establish and maintain effective working relationships with internal and external contacts and to communicate effectively orally and in writing.

  • Ability to use police computer software to retrieve, update and/or modify information.

  • Ability to prepare and maintain records and reports related to the work.

  • Ability to work with minimal supervision and exercise initiative.

Desirable Training and Experience:
Completion of Grade 12, including or supplemented by courses related to the work, plus considerable related experience in a police environment; or an equivalent combination of training and experience.

Required Licences, Certificates and Registrations:
Security clearance is required and will be maintained throughout employment.

Hours of Work:
Standard 35-hour work week (M-F 0800 – 1600)
