As Canada’s largest mental health care provider, the Centre for Addiction and Mental Health provides evidence to drive system and policy change through the implementation of innovations and novel service delivery interventions. The Research Operations, Services and Support (ROSS) Office is a central group within CAMH Research that provides administrative support to ensure that all research activities carried out at CAMH or by CAMH personnel comply with funder, governmental or institutional policies and regulations.
We are seeking a full-time, contract (12 months) Program Officer that will play a crucial role in supporting women’s health research and initiatives within ROSS. Reporting to the Manager Philanthropic Gifts in Research in close collaboration with the Lab Manager for the Galea Lab of Behavioural Neuroendocrinology, this role will coordinate and lead initiatives pertaining to the operations of womenmind TM and the Women’s Health Research Cluster and support administrative functions for the Treliving Chair in Women’s Mental Health (the “Chair”).
The role provides core support to Managers and Leadership Team members that report to the Chair, liaising with other CAMH departments to ensure consistency with CAMH administrative processes and requirements, and supporting the operational efficiency of the programs. The Program Officer will support committees chaired by leadership in scheduling meetings, taking and distributing minutes and agendas. Communication and event support will be key activities in this role, as will building and maintaining relationships across the hospital, in the research environment, and with stakeholders.

Responsibilities Will Include, But Not Be Limited To
- Support the development and implementation of new and existing initiatives and provide day-to-day operational support to program leads
- Support event planning and promotional activities, including for the womenmind Conference, knowledge dissemination and other program events
- Contribute to and support process improvement initiatives, with equity, diversity, inclusion and access at the core of all implementation activities
- Prepare communication materials, including internal and external communications, social media content, stakeholder engagement and knowledge mobilization activities (including content for keynote presentations, etc.)
- Coordinate appointment scheduling and calendar management for the Chair, including organizing meetings with internal team members (i.e. staff, trainees, etc.) and external organizations or parties (collaborators, sponsors, etc.)
- Respond to inquiries on behalf of the Chair, and support the broader leadership team in scheduling across the organization and external attendees
- Provide support to the Chair, including processing reimbursements and preauthorization requests
- Prepare and provide in-depth review of documentation and correspondence on behalf of the Chair and the leadership team
- Proactively tracks deadlines and deliverables to ensure smooth workflow management
- Planning, scheduling, and organizing events (virtual and in-person), including booking venues, organizing catering, purchasing gifts, managing registrations etc.
- Independently manage minor projects and collaboratively support workstreams for larger projects
- Develop and implement processes, templates, forms and reports
- Maintain effective working relationships with key team members across CAMH, CAMH Foundation and at stakeholder organizations
- Contribute to strategy development and implementation to advance research in women’s mental health and supporting women in the sciences
- Other duties as assigned by the supervisor
Work is conducted during the typical workday hours, however, occasional attendance at and coordination of evening events may be required. This position is located at 250 College St. and 1025 Queen St.
Job Requirements
- Undergraduate degree or other formal post-secondary education is required
- 3+ years of work experience in a customer service or administrative role which demonstrates relevant skills required for this role
- 1+ year of experience in general research or research administration
- Experience with working in an academic, research or healthcare environment is an asset
- Excellent communication skills demonstrated by experience drafting formal letters or mass communications
- Excellent customer service skills
- Proficiency in office software applications, including word processing, spreadsheet, video conferencing and email software (e.g., Microsoft Office Suite, Webex, Zoom).
- Exemplary attention to detail
- Excellent interpersonal skills, tact, and discretion and a genuine interest in advancing the women’s mental health research and women in science
- Ability to quickly find, learn and assimilate new information
- Ability to prioritize and handle a high volume of diverse tasks simultaneously
- Ability to capture and articulate risk issues
- Ability to communicate and problem-solve with a diverse variety of stakeholders and team members who may have conflicting interests and priorities
- Ability to handle sensitive and confidential information in a professional manner
