Reports to: Nurse Manager

Hours: 1 FTE

Status: Permanent Full Time

As an integral part of the Blood Disorders Program (BDP), the Administrative Team Leader is accountable for the direct supervision of BDP Administrative Assistants (Admins). The principal responsibilities include, but no limited to: providing leadership and operational support to all activities performed by the Admins; planning and implementing daily and long-term staffing HR allocation; in liaison with the direct manager, assisting with staff recruitment and on-boarding; developing, implementing and executing staff training and professional development plans; coaching and mentoring; performance manage and goal setting; co-leading or participating in departmental and/or UHN-wide committees and initiatives; performing cross-functional and/or other duties consistent with the job role, as assigned or requested by the Blood Disorders Program.

Key Accountabilities & Responsibilities

  • Staff Leadership and Operations Support

  • Provides leadership and support to Admin’s to ensure smooth day-to-day operations.

  • Provides support with issues related to the operations and activities performed by Admin’s; includes meeting with staff and patients for conflict resolution

  • Leads and participates in BDP Admin huddles

  • Oversees and leads monthly Admin staff meetings

  • Evaluate change in operations; identify and implement improvement strategies; facilitate change management in liaison with manager

  • Enter and update staff payroll

  • Admin Staffing and Resources Allocation

  • Responsible for all staff allocation on a daily, weekly, monthly & annual basis in liaison with manager, including coverage for planned and unplanned leaves

  • Enters, updates and changes staffing schedule in staffing application to ensure information is up-to-date on a daily basis

  • Communicates daily Admin staffing and coverage details to respective Blood Disorders Program stakeholder groups

  • Approves vacation and leave requests for Admin’s in collaboration with the manager

  • Participates in People and Culture, and Health Service conversations regarding accommodations, modified work and extended leaves of absences

  • Staff Recruitment and On-Boarding

  • Facilitates recruitment of new Admin’s and leads interviews

  • On-boards new staff and responsible for training schedules

  • Staff Coaching and Development

  • Assists manager in staff performance management

  • Addresses patient relations and safety items in a timely manner

  • Participates and leads in organizational and departmental goals and initiatives

Qualifications Qualifications:

  • Completion of high school (or recognized equivalent)
  • Completion of a recognized post-secondary office administration program at the diploma level required
  • Minimum 2 years of employment with the RMP at Princess Margaret Cancer Centre and a high familiarity with radiation therapy administrative operations, electronic medical records and radiation therapy patient treatment journey
  • Excel in a multi-disciplinary team with a collaborative approach, working alongside Admin’s, radiation therapists, radiation oncologists/fellows/residents, radiation nurses and psychosocial team
  • Professional and respectful communication to patients, caregivers and visitors in a patient-facing role
  • Is patient-centered, and thrive in a working environment that supports diversity, equity and inclusion
  • Experience in supervising and coaching staff preferred
  • Demonstrates strong leadership and motivational skills
  • Effective organizational, interpersonal and communication skills.
  • Excellent problem recognition, analytic and resolution skills.
  • Excellent decision-making skills with the ability to use good judgement in assessing difficult situations.
  • Demonstrates composure under pressure/stressful conditions while meeting multiple and competing deadlines
  • Able to multi-task, show initiative and motivation
  • Acceptance of change management and lead change implementations
  • Excellent computer skills, mostly Microsoft Office and Outlook applications but not limited to
  • Adheres to applicable legislative, UHN and departmental policies, procedures & protocols
  • Highly capable of supporting code medical emergencies, code blues and code whites
