Front Desk Administrative Assistant
FWS Group of Companies is a fully integrated design, engineering, construction, and maintenance services firm. We are advocates of the design-build approach to project development. To add to this expertise, we are recruiting for a Front Desk Administrative Assistant for our Vancouver office location, to join our collaborative and team focused organization.

As our Front Desk Administrative Assistant, you will provide administrative support to individuals or departments, showcasing exceptional organizational skills, effective time management, and a strong commitment to confidentiality. You will also collaborate effectively with team members to ensure smooth and efficient operations.
Position Overview:

Meet and facilitate office visitors.
-
Coordinate and control office documentation and filing, including safety documentation and meeting minutes.

Print and plot sets of construction drawings, specifications, proposals, contracts, O&M manuals, and other printed materials and ensure they are appropriately collated and/or bound as required.

Manage schedules, organize meetings and coordinates travel arrangements for staff and visitors as required.

Responsible for preparing, tracking, and delivering outbound/incoming shipments, courier, mail, faxes and other delivery services.

Perform other administrative duties as required to help maximize efficient use of branch office staff and management’s time.

Communicate with both internal and external parties with discretion and confidentiality as required
Qualifications Needed:
-
Must possess a high level of organizational, time management, and prioritization skills.

High level of verbal and written communication skills; must be proficient in English.

Must possess a valid class 5 driver’s license
-
Proficient in Microsoft Office, with special attention to Word & Excel.
