About the Department
The Centre for Career Growth and Experience at McMaster University's Faculty of Engineering is dedicated to empowering students through comprehensive career development, co-operative education, and experiential learning opportunities. As Ontario's second-largest engineering co-op program, we offer flexible, paid work terms ranging from 4 to 16 months, allowing students to integrate valuable industry experience into their academic journey. Beyond co-op placements, the Centre provides year-round services, including personalized career advising, resume and interview preparation, and access to over 10,000 job postings annually. Students also benefit from a variety of workshops, networking events, and involvement in over 100 student clubs and teams, fostering both professional and personal growth. Through its holistic approach, the Centre ensures that engineering students are well-equipped to navigate their career paths and achieve success in the workforce.
About the Position
The Faculty of Engineering at McMaster University invites applications for a Project Co-ordinator to join the Centre for Career Growth and Experience for a 15-month limited-term role. Reporting to the Manager, Career Education and Professional Development, the Project Co-ordinator will lead the planning and execution of multiple strategic initiatives that advance our mission of delivering impactful career education and experiential learning services.
In this role, you will support the Career Education team by driving key projects, including:
- Creating a centralized repository of tools and resources to support consistent, high-quality career advising and clearly defined student learning outcomes.
- Reviewing and enhancing career workshops, ensuring alignment with curriculum-based learning goals and student development frameworks.
- Coordinating the Faculty’s Student of the Year and Employer of the Year programs, including managing nominations, organizing the selection process, and overseeing communication strategies.
- Streamlining the Co-op Confirmation Form process to improve operational efficiency across the department.
- Recruiting student participants for the Co-operative Education and Work-Integrated Learning Canada (CEWIL) research grant initiative.
Job Summary
Responsible for providing leadership, oversight, coordination and technical expertise for projects related to the program.
Purpose & Key Functions
- Collaborate in the strategic planning for initiatives and related projects for the department
- Lead projects by actively engaging all stakeholders, leadership, and support staff to ensure projects move forward and meet critical landmarks.
- Engage resources to ensure that all projects are completed in the timelines specified.
- Work with Team Leader to ensure that labour resources are available and trained accordingly.
- Provide leadership and coordinate the work of support staff assisting in the completion of projects.
- Provide estimates of time and resources to management for project completion.
- Contribute to the development of project budgets for review and approval.
- Implement and maintain project budgets. Create financial projections and make adjustments to project budgets throughout the year.
- Exercise appropriate controls, monitor, and reconcile accounts. Monitor project budget. Report to manager for decision making any discrepancies and recommendations.
- Complete regular reports on projects status to all stakeholders, leadership and support staff and ensure the project scope and project parameters are clear.
- Implement department-wide program and software changes, electronic modules and program surveys.
- Participate in the maintenance, evaluation and continuous updating of projects including but not limited to electronic modules, curriculum updates and databases.
- Create content and provide technical leadership for computerized initiatives.
- Ensure the data storage for all program drives are organized and archived efficiently.
- Create content, approve web layouts and ensure websites and social networks are regularly updated and maintained.
- Facilitate various meetings and chair committees.
- Respond to inquiries that are specific in nature and require a thorough knowledge of established policies and procedures.
- Act as front-line responder to any problems identified by staff, faculty or learners when new initiatives are implemented.
- Write a variety of documents such as correspondence, reports and memos.
Supervision
- Provide lead hand supervision and is responsible for the quality and quantity of work of others.
Qualifications
- Bachelor's degree in Business Administration, or related field of study.
- Requires 4 years of relevant experience.
Assets
- Previous experience working in a university environment is considered a strong asset.
