Job Summary:

The Customs Coordinator is responsible for overseeing the customs department, ensuring accurate preparation and clearance of customs documentation, and managing all aspects of international shipment compliance. This role involves coordinating with customers, drivers, and various stakeholders to facilitate smooth border crossings and timely delivery of shipments while utilizing multiple software systems and resolving issues that arise during customs processing.

Key Responsibilities:

  • Customs Documentation: Oversee the customs department to ensure all customs documentation is accurately prepared, submitted, and cleared. Prepare documentation required to obtain entry numbers for regular (domestic), IT bonds, and T&E bonds.
  • Customer Coordination: Contact customers to secure necessary paperwork, communicate requirements, and resolve any inconsistencies or issues related to documentation.
  • Driver Documentation: Ensure that drivers have all required documentation to cross the border and that shipments are certified for border transit.
  • Software Utilization: Utilize software systems such as Axon, Avaal, Border Connect and Arion with a high level of accuracy to manage customs processes and documentation.
  • Issue Resolution: Resolve issues at the border related to regular shipments, IT bonds, and T&E bonds, including amendments, arrivals, un-arrived shipments, and cancellations. Address and correct any discrepancies to avoid additional charges like demurrage, storage, and incremental delivery costs.
  • Manifest Management: Enter U.S. shipment manifests into the internal system, print documents (ACE - Manifests), and ensure compliance with all regulations.
  • Inbound Freight Clearance: Ensure that inbound freight is cleared and delivered in a timely manner, coordinating with CBP agents, customers as needed
  • Stakeholder Interaction: Communicate and coordinate with various stakeholders, including CBP agents, customers, and drivers to facilitate the smooth setup and processing of shipments.

Qualifications:

  • Education: Bachelor’s degree in International Business, Logistics, Supply Chain Management, or a related field is preferred not required.
  • Experience: Minimum of 1-2 years of experience in customs coordination or a similar role with a strong understanding of customs regulations and procedures. Automotive experience is a plus.
  • Knowledge: Proficiency in customs documentation processes, familiarity with different types of bonds (IT bonds and T&E bonds), and experience with relevant software systems (Axon, Avaal, Arion).
  • Language: English and Spanish Speaking (preferred not required)
  • Skills: Exceptional organizational and communication skills, attention to detail, problem-solving abilities, and the capacity to handle multiple tasks efficiently. Proficiency in Microsoft Office Suite and customs management software.
  • Certifications: Customs Broker License or relevant certifications are advantageous but not required.

Working Conditions:

  • Office environment with occasional visits to shipping docks or warehouses.
  • Some overtime may be required during peak periods.
