Contract Administrator

Your main responsibilities

The Contract Administrator is responsible for liaising with various departments and customers to maintain contract details and files. They assist in preparing invoices and processes amendments and ensures branch procedures are aligned with company requirements. The Contract Administrator supports all branch departments related administrative functions and will provide technical support, guidance and training on administrative systems.

Responsibilities:

  • Assist in auditing and processing of maintenance contracts
  • Processing contract changes received from the branch offices, (changes to P.O. #, addresses, pricing, new Installation turnovers)
  • Co-ordinate and validate with the global team any changes to the customer master data
  • Assisting with National Account contracts, including update of repair billing rates
  • Monthly printing and mailing of all maintenance Invoices for Canada and autobilling of the same
  • Providing technical support, guidance and training to all branch administrators on Shape systems
  • Processing of credits
  • Filing as required
  • Archiving of contract records ensuring all maintenance contracts are loaded into SAP

What you bring

Knowledge:

  • Business school or college certificate
  • Experience working in an administrative role is preferred

Critical Skills:

  • Proficient in MS Office
  • Excellent initiative along with attention to detail and respect of deadlines
  • Ability to work independently and in a team environment
  • Positive attitude/disposition
  • Competent in filing and updating records
  • Ability to work at all levels of the organization, good interpersonal skills
  • Communication: Excellent verbal and written communication skills
  • Organization: Possess excellent organization skills with the ability to balance high volume of activities and changing priorities
