About the role

Role

Reporting to the Purchasing Manager, the Procurement Assistant will assist in supporting the procurement team by ensuring accurate and timely entry of procurement-related data into the system. The primary focus of this temporary position is on maintaining detailed records of purchases, suppliers, and inventory. The Procurement Assistant will also assist in generating reports and providing administrative support to optimize procurement processes.

Responsibilities

  • Input and update procurement data into the procurement management system accurately and in a timely manner.
  • Maintain organized records of suppliers, purchase orders, contracts, and other procurement-related documents.
  • Assist in generating regular reports concerning procurement metrics, supplier performance, and inventory levels.
  • Collaborate with procurement team members to ensure all necessary information is accurately captured and processed.
  • Respond to inquiries regarding procurement data and assist in resolving discrepancies as needed.
  • Support the procurement team in various administrative tasks, including document management and filing.
  • Ensure compliance with procurement policies and procedures.
  • Perform other duties as assigned by the Procurement Manager.

Requirements

**Requirements**
  • A diploma in Business Administration, Office Administration, or a related field is preferred.
  • Previous experience in data entry or administrative roles, preferably within a procurement or supply chain context.
  • Strong attention to detail with a high degree of accuracy in data entry.
  • Proficient in Microsoft Office Suite, especially Excel, with the ability to utilize spreadsheets effectively for data analysis.
  • Experience with procurement software or systems; familiarity with ViewPoint (Vista) is an asset.
  • Strong organizational skills and the ability to manage multiple tasks and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • A proactive approach to problem-solving and a willingness to learn new processes.
