SUMMARY
The Tenant Services Administrator supports Brookfield Global Integrated Solutions clients by administrating the delivery of small-scale maintenance projects, workspace changes, design services and office services and ensuring accurate reporting of project activity in line with client and BGIS standards and requirements. The position will assist Property Managers, Tenant Service Coordinators, Project Managers, and finance positions to ensure all aspects of tenant project delivery approval and documentation requirements are addressed including, but not limited to, ensuring Work Authorizations are approved by Designated Tenant Representatives, ensuring SSA’s and / or MOU’s are in place prior to proceeding with approvals and proceeding of work, assisting in developing of the quarterly Periodic Usage Report for Work Authorization tracking and ensuring tenant service / tenant direct projects are established tracked, and closed out (with required documentation on hand for quality monitoring requirements) to allow for final billing
KEY DUTIES & RESPONSIBILITIES
- Receives and validates client approvals to ensure all contract obligations are being adhered to
- Ensures a consistent approach across all client portfolio’s related to tenant project approvals, documentation, reporting, and billing
- Assist Property Managers and Tenant Service Coordinators to ensure all documentation and close-out requirements are maintained to allow for timely delivery and completion of service delivery and billing activities
- Performs quality assurance reviews and identify discrepancies and / or modifications required to ensure client reporting is timely and accurate
- Assists with activity tracking to allow for required internal and external reporting related to project delivery timelines
- Ensures proper interpretation of client work processes, workplace culture and policies is essential for effective Tenant Services delivery
- Other duties as assigned Proficient with MS Office and email software
KNOWLEDGE & SKILLS
- High school education
- More than one year up to three years of job related experience
- Superior client management/customer service skills
- Effective Interpersonal skills, with an emphasis on communication (verbal/written)
- Knowledge of project delivery and tendering processes
- General knowledge of commercial building systems and/or construction
- Strong organisational, coordination and documentation skills with the ability to multi-task
- Ability to work independently
- Ability to interpret contracts, as required
- Proficiency with CAD will be considered an asset Specific experience and skill related to the assignment – facility management, churn, facility infrastructures, client industry sector, government sector, etc.
Licenses and/or Professional Accreditation
- Valid driver’s license (as required)
